Position OverviewWe are seeking a professional, customer service–oriented Administrative Assistant to join a collaborative team of four administrative professionals. This role sits at the front desk and serves as a key first point of contact for visitors, clients, and internal stakeholders.
The ideal candidate is friendly, approachable, detail-oriented, and confident managing tasks from start to finish. This position supports marketing communications and event coordination efforts, while also assisting with administrative and financial tasks.
Key Responsibilities Front Desk & Office Support- Serve as the first point of contact for guests, clients, and vendors
- Manage incoming calls, emails, and general inquiries with professionalism
- Maintain a welcoming and organized reception area
- Coordinate mail, packages, and office supplies
- Provide administrative support to a team of four administrative assistants
- Assist with marketing communications materials and distribution
- Support event planning logistics, vendor coordination, and on-site execution
- Prepare meeting materials, manage calendars, and schedule appointments
- Track and follow through on assigned projects from initiation to completion
- Assist with expense tracking, invoice processing, and budget monitoring
- Support reconciliation of event-related expenses
- Maintain organized financial records and documentation
- 2–5 years of administrative experience, preferably in a collaborative team environment
- Strong customer service mindset with excellent interpersonal skills
- Ability to manage multiple priorities and take ownership of tasks through completion
- Detail-oriented with strong organizational skills
- Comfortable handling basic financial tasks such as invoice processing and expense tracking
- Proficiency in Microsoft Office (Word, Excel, Outlook); experience with marketing or event tools is a plus
- Professional demeanor and positive attitude
