Position Overview

We are seeking a professional, customer service–oriented Administrative Assistant to join a collaborative team of four administrative professionals. This role sits at the front desk and serves as a key first point of contact for visitors, clients, and internal stakeholders.

The ideal candidate is friendly, approachable, detail-oriented, and confident managing tasks from start to finish. This position supports marketing communications and event coordination efforts, while also assisting with administrative and financial tasks.

Key Responsibilities Front Desk & Office Support
  • Serve as the first point of contact for guests, clients, and vendors
  • Manage incoming calls, emails, and general inquiries with professionalism
  • Maintain a welcoming and organized reception area
  • Coordinate mail, packages, and office supplies
Administrative & Team Support
  • Provide administrative support to a team of four administrative assistants
  • Assist with marketing communications materials and distribution
  • Support event planning logistics, vendor coordination, and on-site execution
  • Prepare meeting materials, manage calendars, and schedule appointments
  • Track and follow through on assigned projects from initiation to completion
Financial & Operational Support
  • Assist with expense tracking, invoice processing, and budget monitoring
  • Support reconciliation of event-related expenses
  • Maintain organized financial records and documentation
Qualifications
  • 2–5 years of administrative experience, preferably in a collaborative team environment
  • Strong customer service mindset with excellent interpersonal skills
  • Ability to manage multiple priorities and take ownership of tasks through completion
  • Detail-oriented with strong organizational skills
  • Comfortable handling basic financial tasks such as invoice processing and expense tracking
  • Proficiency in Microsoft Office (Word, Excel, Outlook); experience with marketing or event tools is a plus
  • Professional demeanor and positive attitude
