Position Summary & Responsibilities
Position Summary:
The Senior Administrative Assistant position (K0239199) supports the Bureau of Air (BOA). Finalize letters, memorandums, correspondence, legal documents, consent agreements, reports, etc. Clerical proof of documents. Copy, staple, distribute, mail, bind, scan, track, etc. documents requested by Supervisor, BOA Section Chiefs, Bureau Director, and staff. Responsible for the Bureau main phone line to answer, screen and route phone calls. Greet and directs customers/sign them in/provide name badges.
Receive, sort, and distribute incoming faxes and mail, prepares outgoing mail throughout the day. Copy all checks received, attach a copy to document and give to the appropriate person. Prepare deposit forms for payments received. Keep Bureau In/Out Board updated throughout the day. Assist bureau mail outs. Maintain calendar outside all BOA Conference rooms. Maintain office supplies and keep the supply room in neat and clean order.
Public Notices - Implement procedures and deadlines for publishing public notices for the Bureau, which include various types of permits, regulations, etc. Responsible for having public notices printed in the Kansas Register and newspapers located in the State of Kansas and surrounding states. Finalize/Proof for clerical review, send to be published, distribute, schedule and sets up hearings and special needs when required.
Notify district offices, local health agencies, affected Tribes and states, and the US EPA of public notices and public hearings when required. Send appropriate bureau staff to have Public Notice put on the Bureau website page. Request Public Notice be removed from website at designated time.
Job Responsibilities may include but are not limited to the following:
* Serves as the backup contact for all Kansas Open Record Act requests.
* Scan all documents upon receipt and as requested. Prepare documents for scanning, scan, index, review in Image Now.
* Cross trains with all bureau administrative support staff.
* Maintain detailed procedure manual outlining position duties.
Qualifications
* Licensing & Certification:
* Valid Driver's License - Incumbent is required to have and maintain a valid driver's license when operating a state vehicle, a private vehicle, or a rental vehicle for the benefit of the State.
* Minimum Qualifications:
* One year of experience in general office, clerical and administrative support work. Education may be substituted for experience as determined relevant by the agency.
