Position Summary & Responsibilities:

Position Summary:

Under the direction of the Executive Director, the Administrative Specialist is responsible for the following:

Front Desk/Reception:
Serves as agency receptionist-answers telephone, screens callers and for executive director. Retrieves, opens, date stamps, and disseminates daily mail. Greets visitors, deals with other agencies and the public. Answers laws, rules and regulations questions concerning exam, licensing and firm registrations. technical, ethical questions are referred to and handled by the director. Establishes and maintains records and filing systems. Scans documents-oversees temporary help performing scanning duties.

Exam:
Responsible for maintaining certificate by exam candidates records. Responsible for corresponding with applicants. Files and processes applications for CPA certificates. Maintains ethics exam results for candidates files. Perform pre-evaluation of transcripts for candidates to be reviewed by the director.

Licensing:
Prepares and mails applications for licenses and license renewals. Processes permit renewal applications and inputs information in database. Prepares and mails annual audit letters to selected licensees. using random number generator program. Tracks audit information received. Preparation and mailing of follow up letters for unresponsive licensees. Prepares audit results report for board review. Records all CPA information in database. Verifies CPA status to other state boards of accountancy.

Processes credit card payments.

Firms:
Maintains firm files and master list of CPA firms. Responsible for all firm registration activities to include: preparation and mailing of applications for firm. registrations and firm renewals. Tracking of firms who do not renew timely. Tracking of peer review expiration dates for firm registrations. Processes credit card payments.

Board:
Prepares reports for executive director and board members. Assists with preparation for board meetings to include making coffee, setting up lunch, etc.

Director:
Retrieves daily legislative packets from the statehouse during legislative session.

Communications:
Maintains all application forms. Answers all inquiries relating to application forms. Prepares correspondence.

Miscellaneous:
Performs a variety of other clerical tasks to relieve the agency head of administrative details, such as, but not limited to, entry of data into computer as needed; recording/reporting month end meter reading to vendor of copy machine; preparing envelopes, copying data, filing, preparing for mass mailings; errands; assisting the other clerical position in the agency as needed; light-lifting, such as paper boxes and water bottles;

and any other tasks as may be requested by the executive director.

Minimum Qualifications:

* Two years of experience in general office, clerical and administrative support work. Education may be substituted for experience as determined relevant by the agency.

Licensing & Certification:

* Valid Driver's License

Post Offer Requirement:

Kansas Tax Clearance Certificate: A valid Kansas Tax Clearance Certificate is a condition of employment for all employees of the State of Kansas. Applicants (including non-residents) who receive a formal job offer for a State job, are required to obtain a valid Tax Clearance within ten (10) days of the job offer. A Tax Clearance can be obtained through the Kansas Department of Revenue who reviews individual accounts for compliance with Kansas Tax Law.
