Position Summary & Responsibilities:
Administrative Assistant

Seeking a highly organized and detail-oriented professional to serve as the primary coordinator for legal processing activities within the UI Tax program. Responsibilities include preparing and managing legal documentation such as subpoenas, court orders, and show-cause documents; maintaining accurate service records; monitoring compliance and appearance deadlines; and conducting timely follow-up on outstanding legal matters. The position works closely with internal partners and the Legal Department to address non-compliance issues and help ensure accountability across all active legal cases.

Additional responsibilities include providing operational and administrative support to UI Tax supervisors by researching and gathering information, responding to inquiries, completing follow-up actions, and assisting with timekeeping reports, performance data, historical records, and other operational metrics that support program management and decision-making.

The position also assists with employer communications by managing email correspondence, responding to inquiries, and providing information and support related to UI Tax programs, training initiatives, and employer services. Successful candidates will demonstrate strong organizational skills, attention to detail, professionalism, and the ability to manage multiple priorities in a fast-paced environment while delivering excellent customer service.

Minimum Requirements:

* High School Diploma or equivalent

* One year of administrative, clerical, legal support, customer service, or office support experience.

Knowledge, Skills and Abilities:

* Experience maintaining records, tracking deadlines, and managing multiple assignments with attention to detail.

* Ability to research information, prepare correspondence and documentation, and follow established procedures.

* Strong written and verbal communication skills.

* Proficiency with standard office software, including email, word processing, and spreadsheet applications.

* Ability to interact professionally with internal staff, employers, and external stakeholders while maintaining confidentiality and accuracy.

* State of Kansas Tax Clearance Certificate. The successful applicant (including new residents) must obtain a valid Kansas Certificate of Tax Clearance by accessing the Kansas Department of Revenue's website within 10 days of the date the applicant has been offered the employment position. A Tax Clearance is a comprehensive tax account review to determine and ensure that an individual's account is compliant with all primary Kansas Tax Laws.
