Position Summary & Responsibilities
The Kansas State Board of Healing Arts (KSBHA) is hiring an Administrative Specialist in our Disciplinary department. This position is a full-time, benefits eligible position, that plays a key role in the department's daily operations. Duties include, but are not limited to the following:
* Extract data from reports and administer renewal review function regarding responses to any attestation questions on Renewal Applications for all regulated Healthcare Professions during each renewal cycle.
* Works with IT, Licensing and Disciplinary Attorneys to determine the most expedient and accurate processes for obtaining and maintaining the proper Renewal Application information.
* Receives, analyzes and summarizes information obtained from incoming renewal responses while managing paper and electronic forms of complaint files.
* Follows up with licensees for additional information if necessary and responds to licensee's questions regarding the attestation questions on the renewal application using independent judgement.
* Uses independent judgement when to transfer licensee or third-party calls to appropriate staff as needed.
* Collaborates with Disciplinary Attorneys to determine when additional information may save steps further in the process.
* Presents Renewal Application summary and all documents to Disciplinary Attorneys for review.
* Provides administrative support for Investigators to include scanning, filing and updating physical and electronic medical investigations.
* Maintains consistent quality standards for scanning projects.
* Transcribes important phone and recorded interviews upon request from Investigators.
* Attends continuing education to support professional development.
* Scans and uploads agency documents to electronic format.
* Provides back-up administrative support to the Complaint Coordinator and Administrative Specialist as needed.
* Assists with training of new employees or positions in the department as needed.
* Other duties may be assigned by employee's Supervisor and Disciplinary Attorneys.
Minimum Qualifications
* One-year general office, clerical and administrative support work. Working with electronic data and files; storing, editing and transferring the information. Education may be substituted for experience as determined by agency.
