Position SummaryThis role is responsible for planning complex meetings, events, and travel logistics in support of the Pegasus Laboratories Commercial team, ensuring seamless execution and alignment with business objectives. It leads the end-to-end planning and delivery of trade shows and events to ensure consistent, high-quality brand representation. Additionally, the role provides comprehensive administrative and operational support to senior leadership, including vendor management, budget oversight, expense tracking, communications, and executive-level presentation development.

Essential Duties & Responsibilities- Plan and coordinate meetings, conferences, and teleconferences of varying size and complexity, including recurring Leadership Team (LT) meetings, ensuring efficient scheduling and seamless logistical execution.
- Lead the planning and execution of large-scale internal meetings and the annual distributor incentive trip, delivering high-quality experiences aligned with business objectives.
- Plan diverse event types, including sales meetings, product launch meetings, and national trade shows, ensuring consistency and excellence across all touchpoints.
- Manage end-to-end event logistics, including sourcing venues and negotiating quotes, budget management, contract facilitation, attendee coordination, travel arrangements, and onsite execution (meeting space, audiovisual, food & beverage, etc.).
- Oversee travel and accommodation logistics for both small and large-scale trade shows, ensuring efficiency, cost-effectiveness, and positive attendee experiences.
- Arrange leadership and sales team training logistics, including travel, meeting space, and accommodations to support effective learning environments.
- Forecast, monitor, and track monthly SG&A expenditures for Pegasus, ensuring financial accuracy and adherence to budget targets.
- Establish and manage vendor relationships, including onboarding, confidentiality agreements, and consulting contracts, ensuring compliance and operational efficiency.
- Develop, edit, and proofread high-quality executive PowerPoint presentations for the Vice President, U.S. Sales & Commercial Operations.
- Oversee the expense management process for the Vice President's direct reports, ensuring timely submission and conducting initial reviews of Concur expense reports for accuracy and compliance.
- Maintain professional, responsive, and polished communication with internal and external stakeholders via phone and email.
- Support additional operational and administrative initiatives as needed to meet evolving business priorities.
- Follow all company safety policies and procedures.
- Participate in required safety training.
- Report unsafe conditions, near misses, and incidents promptly.
- Education:
Bachelor's degree required, with coursework in business administration, communications, or accounting desired, or equivalent work experience - Experience:
5 or more years in trade show event planning and/or supporting senior-level management in a professional environment. - Skills & Abilities:
- Ability to uphold the highest confidentiality and to be discreet about company information and personal information of the Pegasus senior leadership team.
- Strong professional presence and demonstrated leadership skills, sound judgment, and the ability to interface with customers, employees and leaders at all levels effectively.
- Strong written and verbal communication skills.
- Self-directed professional with strong interpersonal skills and emotional intelligence
- Advanced skills in Microsoft Office (Word, Excel, PowerPoint, and Outlook);
Smartsheet, SharePoint, One Note, Visio, Concur - Familiarity with the Animal Health market is not required but would be a plus.
- Experience with Concur expense management software preferred.
- Effective time management and organizational skills; proven ability to prioritize while simultaneously managing numerous projects/processes often under tight deadlines.
- Ability to understand projects, think critically, and identify solutions.
- Up to 50% Travel
