Position Summary / Career Interest
The Patient Service Representative Scheduling (PSR Scheduler) is a vital member of the physician's care team, responsible for creating a seamless patient experience within an ambulatory clinic. The role primarily involves scheduling patient appointments, which may be done away from the front desk, including in a call center setting. Responsibilities include managing MyChart and EMR appointment requests, processing external medical records, assisting with front desk operations as needed, and supporting the physician care team in preparing for appointments.
Training will be provided to assist in front office functions of the clinic.
Responsibilities And Essential Job Functions
- Respond to high-volume incoming calls and schedule appointments, including referrals, in-person visits, telehealth, surgeries, procedures, and ancillary services using Epic Cadence.
- Assist patients with registration, appointment cancellations, and updating insurance information.
- Document and route calls accurately, navigate medical records, and ensure patient information is current.
- Follow all regulatory and compliance standards, protocols, and guidelines.
- Communicate effectively with the care team, support staff, and patients on various issues.
- Obtain and verify insurance details, and escalate urgent issues appropriately.
- Maintain extensive knowledge of appointment types, locations, providers, and specialties.
- Coordinate patient itineraries, including multiple appointments.
- Register patients during scheduling, including entering demographics, verifying insurance, and processing referrals.
- Assist with preauthorization for visits and procedures.
- Support MyChart activation and online check-in processes.
- Participate in department meetings and process improvement initiatives.
- Establish and maintain professional relationships with providers and staff.
- Understand patient policies and services offered by the health system.
- Adhere to apparel, PPE, and environmental health guidelines.
- Complete required training and quality assessments within specified timelines.
- Support front office functions, including high-volume check-in/out and point-of-service collections.
- Assist with outpatient clinic rooming and post-visit follow-up scheduling.
- Ensure proper clinic coverage and perform other duties as assigned.
Required Education And Experience
- High School Graduate or GED.
- At least 1 year of direct customer service experience in healthcare or contact center setting.
Preferred Education And Experience
- College coursework towards an Associate’s or Bachelor’s Degree.
- Experience in a call center environment.
- Knowledge of medical terminology and EPIC or similar systems.
- Clerical or customer service experience in healthcare.
Required Language Skills
- Fluent in English: reading, writing, speaking, and understanding.
Preferred Language Skills
- Bilingual with documented proficiency.
Knowledge Requirements
- Basic computer skills: MS Excel, Word, Outlook, Teams.
- Ability to maintain confidentiality and provide excellent customer service.
