Purpose

The Office Coordinator will provide support to the Academic Administration office and Academic Leadership. Office coordination includes general office duties, oversight of paperwork, office maintenance, and other duties as assigned by the Director of the Academic Offices. This position frequently engages faculty, staff, students, and prospective students and provides a welcoming presence to the Academic Administration office.

Job Role and Responsibilities Communication
  • Serve as a point of contact and gatekeeper for the Academic Administration office, representing them and creating a welcoming environment for guests.
  • Facilitate clear communication between academic leadership, faculty, staff, students, external visitors, and callers.
  • Promote a positive image of the University and stay informed about University programs and initiatives.
  • Manage correspondence, answer phone calls, take messages on behalf of Academic Administration while maintaining confidentiality and professionalism.
Calendar Management
  • Maintain the calendar for the Academic Administration Conference room.
  • Assist in maintaining other calendars as assigned.
Academic and University Event Coordination
  • Reserve rooms and spaces for meetings and events as assigned.
  • Co‑ordinate with Community Experiences and AV/technology needs and arrange catering through Chartwells or off‑site vendors as needed.
Academic Affairs
  • Provide clerical support for the Dean of Online, Non‑traditional and Graduate Education, including dual credit enrollment and related processes.
  • Provide administrative support for the Prison Divinity Program.
  • Assist in Academic Administration office flow, ordering office supplies and equipment, and maintaining office and building needs.
  • Assume multiple roles when assigned.
  • Perform additional responsibilities as assigned by Academic leadership.
Knowledge and Skills Required
  • Exceptional communication skills: verbal and written.
  • Team management: oversight of front desk coverage.
  • Organizational excellence: prioritize tasks and coordinate complex schedules.
  • Technological proficiency:
    Microsoft Office Suite, Adobe Express, Canva, Zoom, Microsoft Teams, SharePoint, and cloud‑based collaboration tools.
  • Attention to detail: accuracy in preparing documents and handling confidential information.
  • Budget and expense management: tracking, reporting, and procurement processes.
  • Professionalism and discretion: maintain confidentiality and uphold high standards of conduct.
  • Interpersonal skills: build positive relationships with faculty, staff, students, and external stakeholders.
  • Problem‑solving: identify issues and implement effective solutions.
  • Adaptability and initiative: work in a dynamic environment without constant supervision.
  • Familiarity with higher education environment: understanding of academic structures and governance.
Education
  • Required: Associate’s degree or high school diploma with 2 years of relevant experience substituting for the degree.
  • Preferred: Bachelor’s degree.
Experience
  • Required: Office administrative experience (2 years). Bachelor’s degree in a related field may substitute for work experience.
  • Preferred: Office administration experience in an academic setting.
Special Requirements
  • Must be a member of a local evangelical Christian church.
  • Evangelical is a broad term within Christianity that maintains biblical authority and belief in salvation by faith in Jesus alone.
