Purpose:
The Administrative Coordinator for Human Resources and Payroll works to support the day-to-day operations of the Human Resources and Payroll office, serving as the first point of contact between HR, Payroll, and employees. This position plays a critical role in providing administrative support for all payroll and HR functions as requested by team members. The coordinator conducts all activities reflecting the university’s mission as a Christ-centered university.
Human Resources Support
- Serve as the first point of contact for HR-related inquiries from employees and job applicants, offering a welcoming and helpful presence.
- Create, maintain, and update physical personnel files in preparation for digitization.
- Digitize all historical personnel and payroll files.
- Assist with new hire orientation and verify identification for employees as needed.
- Support recruitment processes by assisting with posting jobs and communicating with candidates when required.
- Help with all aspects of coordinating and executing employee events, recognition programs, training sessions, and compliance activities.
- Assist with timely payroll processing by helping to ensure completeness of all timesheets and approvals for hourly employees of the university.
- Ensure timely completion of employment documentation (e.g., I-9s, background checks, direct deposit forms) by student employees and staff new hires as requested.
- Assist with payroll-related communications and employee payroll inquiries, ensuring issues are handled with discretion and routed to the appropriate team members for timely resolution.
- Ensure compliance with university policies, employment laws, and regulatory requirements (FMLA, HIPAA, Title VII, etc.) when working with personnel and payroll records.
- Maintain confidentiality at all times and handle sensitive employee data with integrity.
- Complete daily mail drop-off, pick-up and distribution for the HR and payroll office.
- Assist with HR and payroll office communications, including phone calls, email correspondence, and walk-in inquiries.
- Maintain the organization of the HR and payroll office, both physical and digital filing systems.
- Create and format HR and payroll documents as requested by team members.
- Provide scheduling and administrative support to the human resources and payroll employees.
- Provide scheduling for the Stavros Suite Conference Room (111) as needed.
- Providing administrative support to HR and Payroll team members.
- Other duties as assigned.
- Strong interpersonal and customer service skills with a servant-leader mindset.
- High level of organization and attention to detail.
- Proficiency in Microsoft Office Suite and HR/payroll software systems (e.g., ADP, Banner, Oracle, or similar platforms).
- Ability to handle confidential information with discretion and integrity.
- Excellent written and verbal communication skills.
Required:
Associate degree, Business Administration, or a related field.
Preferred:
Bachelor's degree in Human Resources, Business Administration, or a related field.
Required:
2+ years of administrative support experience, preferably in human resources or payroll.
Preferred:
Experience in a higher education or faith-based institution is a plus.

- This position is on-site in Shawnee, OK, Monday through Friday.
- Occasional extended hours during peak periods (e.g., payroll processing, benefits enrollment).
- Must be able to sit and work at a computer for extended periods.
- Must be a member of a local evangelical
