Position Title:

Account Service Coordinator

Wage: $24.00/hour

Shift: 1st

Hours:

8:00am - 4:30pm (Monday - Friday)

Responsibilities
  • Monitoring daily service dispatch reports and actively tracking open work orders through completion and closure.
  • Coordinating and scheduling service activities with distributors and authorized service providers to meet expectations and performance metrics.
  • Serving as primary liaison between customers, technicians, distributors, and internal teams to ensure clean communication and timely updates regarding service status and resolution.
  • Proactively identifying and addressing service delays, resource constraints, and scheduling conflicts to minimize downtime and improve customer satisfaction.
  • Escalating service issues as needed and driving resolution through collaboration.
  • Collecting, reviewing, and auditing service documentation and invoices to ensure accuracy, completeness, and compliance with company requirements.
  • Validating service completion documentation and ensure records are submitted accurately and on time.
  • Coordinating with internal departments as needed.
  • Reviewing, processing, and approving invoices and payment documentation associated with completed service work orders.
  • Maintaining accurate service records and documentation within CRM and ERP systems.
  • Building and maintaining strong working relations with dealers, distributors, service providers, and customer contacts.
  • Responding to inquiries promptly and providing effective solutions to service-related challenges.
  • Identifying opportunities to improve service dispatch process, customer communications, reporting, and overall operational efficiency.
  • Assisting with broader technical support and customer service initiatives as needed.
Requirements
  • Associate’s degree in business administration, logistics, supply chain management, IT, or related; work experience will be considered.
  • 3-5 years of experience in customer service, dispatch, field service coordination, logistics, or related role.
  • Experience with in manufacturing, HVAC, or refrigeration environment preferred.
  • Knowledge of commercial refrigeration equipment, HVAC systems, mechanical equipment or related environments preferred.
  • Proficiency with Microsoft Office applications.
  • Experience with CRM and ERP systems preferred.
  • Excellent verbal and written communication.
  • Strong organizational, time management and multitasking abilities.
  • Ability to work independently while collaborating across cross-functional teams.
  • Strong problem-solving and decision-making skills.
  • Demonstrated sense of urgency and accountability.
