Front Desk Receptionist

Job Summary

This position is responsible day-to-day administrative and general office duties including word processing, filing, faxing, and data entry. Receives incoming telephone calls in a prompt, courteous, and professional manner and greets/assists visitors in the same manner.

Job Responsibilities /Tasks
  • Welcomes patients/visitors of the practice in a hospitable manner, determines the reason of visit and appropriately directs them to the necessary person(s) or department(s).
  • Timely answers telephone calls and communicates in a professional manner to callers. Routes calls appropriately, and offers callers voicemail, paging, and/or redirection as needed.
  • Directs patients/visitors to designated waiting areas.
  • Facilitates patient flow and promptly communicates any delays with appointments, patients, and/or clinical staff.
  • Explains, in detail, any financial requirements to patients/visitors/responsible parties and effectively collects copays as required.
  • Adheres to all practice policies and procedures regarding safety and security and upholds confidentiality of sensitive information such as computer passwords and keyless entry codes.
  • Responsible for maintaining the reception/patient waiting areas and office files in an organized and cleanly manner.
Required Skills/Abilities
  • Strong knowledge of administrative policies, procedures, claims processing, and the preparation of patient charts.
  • Knowledge of medical terminology.
  • Strong verbal and written communication skills.
  • Ability to utilize a multi-line phone system, including transferring calls and paging.
  • Ability to demonstrate a high-degree of tact and diplomacy while multi-tasking and handling a high volume of patients/calls.
  • Ability to type a minimum of 40 WPM
  • Ability to remain calm and excel when under pressure with minimal supervision
  • Ability to think quickly and problem solve when issues arise
  • Ability to competently handle upset patients/disputes over the phone while patiently working with them to resolve their concerns.
  • Skills in practice management software and Microsoft Office software such as Word, Excel, etc.
Qualifications
  • Education:

    High School Diploma or Equivalent
Experience
  • At least one year of experience in customer service or reception
  • Preferably in a medical office setting
