Health Information Management Supervisor: This 1.0 FTE/Full-time position is scheduled to work 8-HR day shifts, Monday through Friday.

Compensation: Exempt, $36.05/hr - $51.50/hr

Job Summary:
The HIM Supervisor oversees the day-to-day operations of the Health Information Management department, ensuring the accuracy, integrity, confidentiality, and timely availability of health records in compliance with federal, state, and accreditation standards. This role provides direct supervision to HIM staff and serves as a subject matter expert for medical record documentation, release of information, coding support, and record completion processes.

Essential Duties and Responsibilities:
  • Oversee daily HIM operations, including record completion, document imaging, analysis, deficiency management, release of information (ROI), and document management processes within the electronic health record (EHR), ensuring timely availability, accuracy, and integrity of medical records.
  • Ensure compliance with HIPAA, state and federal regulations, CMS, Joint Commission standards, and organizational policies, including appropriate handling of sensitive and confidential information.
  • Supervise, train, and develop HIM staff, including onboarding, ongoing competency assessments, work assignment, productivity monitoring, performance evaluation, coaching, scheduling, hiring participation, and disciplinary actions as needed.
  • Conduct and support audits, including medical record audits for completeness, accuracy, and compliance, and assist with internal and external audits, surveys, and regulatory reviews.
  • Manage physician documentation processes, including monitoring, tracking, and following up on documentation deficiencies to ensure compliance and timely resolution.
  • Oversee release of information (ROI) activities, ensuring accuracy, timeliness, legal compliance, appropriate fee assessment, and review of complex or high-risk requests such as subpoenas, court orders, and attorney requests.
  • Serve as a liaison between HIM, clinical departments, providers, IT, compliance, legal teams, and external vendors to resolve record-related issues and support coordinated workflows.
  • Provide education and guidance to providers and staff on documentation standards, HIM processes, and best practices.
  • Support reporting, metrics, and performance improvement initiatives, including assisting leadership with data analysis and operational insights.
  • Support EHR optimization and system upgrades, including troubleshooting record-related issues and coordinating resolutions with IT and vendors.
  • Maintain current knowledge of evolving HIM technologies, regulatory requirements, and industry best practices.
