Office Administrator/ Coordinator
Position
Seasonal/temporary Administrative & Logistics Specialist with SWCA Environmental Consultants, based at the Sheridan, Wyoming office (remote employee) supporting construction compliance projects in Rawlins, Wyoming. Must live within 2 hours of Rawlins, WY. Work is 20 hours per week, March–November 2026. Salary $20.33 to $26.22 per hour.
Responsibilities- Manage program and project logistics for construction compliance staff, coordinating with project/task managers and directors regarding project needs; assist with scheduling staff for fieldwork; arrange travel, vehicles, equipment, and supplies; support fieldwork logistics; collect safety forms and expense receipts; assist staff with expense reporting.
- Develop strong working relationships with leads and directors for planning, cultural resources, and natural resources; learn team skillsets and services to schedule staff efficiently.
- Manage health and safety compliance tasks, schedule training courses, and prepare monthly reporting.
- Manage supply inventory, maintenance, organization, and billing of field data and safety equipment; inventory and purchase field supplies and technology assets such as tablets, GPS equipment, and SPOT devices.
- Organize safety gear, secure travel, outgoing/incoming forms, and data; support field house management and tenant support; track expenditures; reconcile billing and credit card statements; provide document production and mailing support; organize project and safety records.
- Procure Certificates of Insurance to meet contract requirements as needed.
- Manage a fleet of company-owned and rental vehicles; coordinate vehicle maintenance and repairs.
- Oversee administrative tasks such as office supply orders, mail and shipping, grocery/errands, document production, and other office-related tasks.
- Coordinate onsite and offsite meetings, conferences, and community volunteer events.
- Onboard new employees and provide onsite orientation.
- Collaborate with corporate departments as directed.
- Coordinate monthly office expense reporting, track office expenditures, and reconcile office credit card statements.
- One year of progressively responsible experience in a similar role.
- Current and valid driver’s license with ability to drive multiple vehicle types, trucks, and 4×4’s.
- Proficiency with Microsoft Office applications including Word, Excel, PowerPoint, and Outlook.
- Experience with technology asset inventory and management for field data collection tablets and GPS devices.
- Ability to assertively negotiate rates with hotels and manage relationships with car rental agencies.
- Ability to run errands with minimal notice during business hours.
- Experience with scheduling and meeting coordination.
- Bachelor’s or associate degree (or college coursework) in business, administration, office technology, or a related business field.
- Up to four years of progressively responsible experience.
- Experience working for an environmental consulting, engineering, or construction firm.
- Experience with software such as Adobe Acrobat.
- Budget tracking, reporting, or equivalent experience.
- Excellent communication, multi-tasking, and interpersonal skills with ability to represent the company professionally and meet tight deadlines in a fast-paced environment.
- Ability to work independently, proactive, solve problems, and take initiative; also highly collaborative and team oriented.
- Willingness to jump into various tasks and learn new things to support the team as needs arise.
- Strong customer service approach and problem-solving ability.
