The Medical Administrative Assistant is responsible for performing a variety of duties in a clinic setting. This person may be involved in both clinical and administrative areas, including assisting providers with patient care and handling clerical, environmental, and organizational tasks. This role requires a strong balance of administrative skills and interpersonal abilities. Provides information and resources to patients so they may fully utilize and benefit from the clinical services.
All forms of communication to the office will be given prompt, courteous, and professional attention. Patients will be greeted and/or assisted in the same manner. Employees in this position will ensure that patient information is obtained and accurately updated in the hospital’s electronic medical record (EMR). Information will be available, so patients can be informed of clinic policies, procedures, services and other information as required or requested.
Job Functions
- Fulfills patient care responsibilities as assigned, which may include, but not limited to, checking schedules and organizing patient flow; accompanying patients to the exam/procedure room; assisting patients as needed; performing screenings per provider guidelines; relaying instructions to patients/families; answering calls and providing pertinent information.
- Fulfills administrative responsibilities as assigned including, but not limited to, sending/receiving patient medical records; obtaining applicable reports, notes, referral information, etc.; completing forms/requisitions as needed; scheduling appointments; verifying insurance coverage; managing and updating charts to ensure that information is complete and filed appropriately.
- Communicate via Power chart, email, phone to providers regarding patients.
- Communicate with vendors via fax and phone regarding orders for patients.
- Collaborates with other departments in a professional manner as needed to provide patient-centered care.
- Prepares room, equipment and supplies as dictated by a particular examination or patient’s needs. (Environment of Care, Exam Room, Room & Instrument Preparation)
- Help nursing/clinical staff with cleaning rooms and adequately stocking per standard work.
- Assists with scheduling admissions, appointments, diagnostic tests, treatments, procedures, and surgery. (Patient Service, Scheduling, Patient Scheduling)
- Obtains, verifies, and updates patient information and provides support services to patients and medical staff.
- Promotes and participates in the implementation, maintenance, and continuous evaluation of EMR.
- Receives and prepares the patient for examination and treatment as directed. Obtains and records history and vital signs. Charts and documents in the medical record. Collects laboratory specimens as needed. (Patient Care, Patient Examination Preparation)
- Assists physicians and non-physician providers in preparing for minor procedures and physical exams. Performs minor procedures to include but not limited to stitch and staple removal, application of dressings, splints and casts, etc. (Patient Care, Procedure, Assist Providers)
- Secures all required documentation (i.e. insurance information, consents and releases are completed and filed, requests sent for additional information from other agencies as needed).
