Kelly is currently hiring a Part time Administrative Assistant for one of our prestigious clients based in Sherwood Park AB or Prentiss, Alberta (Onsite)

Part-Time Administrative Contractor

2 days – 16 hr.

Location:

Sherwood Park AB or Prentiss, Alberta (on-site)

Pay rate: $24- $27/hr.

Schedule:

Two days per week, eight hours per day, 8:00 a.m. to 4:30 p.m. (30 minutes for lunch)

Position Overview

We are seeking a highly organized and proactive Administrative Contractor to provide part-time administrative support for the Corporate Communications function. This role is ideal for an experienced administrative professional who enjoys managing multiple priorities, interacting with a variety of stakeholders, and ensuring work is completed efficiently and accurately. The successful contractor will work on-site approximately two days per week at either the Sherwood Park or Prentiss location and will provide a broad range of administrative, coordination, and communications support services.

Scope

of Services Administrative Coordination
  • Provide administrative coordination and operational support to the North America Corporate Communications function
  • Vendor and Procurement Support
  • Coordinate vendor onboarding activities and follow-up.
  • Assist with purchase order (PO) and purchase requisition (PR) coordination through SAP.
  • Track invoices and support timely processing by liaising with Vendors, Procurement and Finance.
  • Maintain records related to vendor activities and payments.
Document Management
  • Prepare, edit, format, proofread, and distribute documents, presentations, reports, and correspondence.
  • Maintain organized electronic and hard-copy records.
  • Support document control and records management activities.
Calendar and Meeting Coordination
  • Schedule meetings and conference calls.
  • Prepare meeting materials and assist with meeting logistics.
  • Track action items and follow up on outstanding commitments as required.
Event Coordination
  • Provide administrative and logistical support for internal meetings, employee events, community engagement activities, and stakeholder events.
  • Coordinate event logistics, including venue arrangements, catering, registrations, meeting materials, signage, and supplies.
  • Liaise with internal teams, vendors, and service providers to support successful event planning and execution.
  • Track event timelines, action items, and deliverables to help ensure activities are completed on schedule.
  • Assist with on-site event setup, coordination, and post-event administrative follow-up as required.
Process Coordination
  • Organize and monitor recurring administrative processes.
  • Track deadlines and milestones.
  • Follow up with stakeholders to support timely completion of activities.
Communications Support
  • Prepare basic communication materials and visual assets, including posters, flyers, and presentation graphics.
  • Assist with creating simple digital content and basic video materials as needed.
  • Support internal communications and event-related materials.
General Administrative Support
  • Provide additional administrative services and project support as mutually agreed upon.
  • Assist with special projects and events as required.
Qualifications The ideal candidate will have:

Demonstrated administrative experience in a professional business environment.

Excellent organizational and time management skills.

Strong written and verbal communication abilities.

Ability to manage multiple priorities with minimal supervision.

High attention to detail and accuracy.

Strong interpersonal skills and the ability to work effectively with diverse stakeholders.

Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams).

Working knowledge of SAP, including experience with purchase order coordination, invoice processing, or related administrative functions, is preferred.

Experience creating basic communication materials using Microsoft PowerPoint, Canva, Adobe Express, or similar tools is considered an asset.

Experience supporting procurement, finance, or vendor coordination is an asset.

Ability to maintain confidentiality and exercise sound judgment.

Working Arrangement

Approximately two days per week.

Work will be performed on-site at either the Sherwood Park or Prentiss location.

Schedule may be adjusted by mutual agreement based on operational requirements.

This engagement is intended as an independent contractor arrangement and does not constitute an employment relationship.

The specific scope of work may evolve over time based on organizational priorities and mutual agreement between the parties.
