Construction Executive Assistant – CRISTA Ministries, Shoreline, WA
Location: Shoreline, WA
Employment Status: Full Time
Compensation: $32 - $35 an hour, DOE

ResponsibilitiesPosition Summary
- Provide God‑Centric, high‑trust administrative and communication support to the Director of Construction and VP of Facilities & Construction.
- Fluency in construction language and processes; assist with physical duties of Facilities leadership as needed.
- Manage proposals, expense reports, contracts, vendors, and support capital and construction projects, primarily administrative.
- Review and manage communications: voicemail, phone, e‑mail, mail, visitors.
- Prioritize schedule demands, maintain reminder and follow‑up systems.
- Process expenses and credit card reports.
- Assist with meeting agendas, minutes, project coordination.
- Attend meetings and prepare materials.
- File and organize drawings, specs, submittals, shop drawings.
- Manage intake of proposals, contracts, invoices for consultants and contractors.
- Assist with pay applications, schedule of values, contract administration.
- Create and review project schedules for capital and construction projects.
- Coordinate furniture, fixtures and equipment (F.F.E.) management.
- Document special needs during construction (fire watch, escorting, inspections).
- Support Director & VP through communication facilitation, tours, deliveries, and site presentation.
- Christ‑Centered – belief in Jesus Christ, committed Christian, daily spiritual practices, aligns with CRISTA’s Statement of Faith and CCC.
- Education – Associate or bachelor’s degree from accredited institution; work experience may substitute year‑for‑year.
- Experience – 3‑5 years recent executive assistant or administrative assistant; 1‑2 years with a general contractor.
- Software / Equipment Knowledge – Advanced Microsoft Office (PowerPoint, Excel, Word, Outlook);
Teams & Zoom; advanced Excel for budgeting; intermediate Blue Beam; web‑meeting setup. - Strong interpersonal, communication, organization, discretion, judgment; team player; self‑directed; problem‑solving; ability to work >40 hrs per week; pass background check.
- Education – Bachelor’s degree (or equivalent).
- Experience – 3+ years administrative assistant with a general contractor.
- Software / Equipment Knowledge – Blue Beam, Smart Sheet.
- Previous architectural, engineering or construction firm experience; building permit management.
