Reports To: Billing Manager or Controller
Job SummaryThe Billing Assistant is responsible for supporting the billing department by preparing accurate invoices, verifying rental tickets, maintaining customer accounts, and ensuring timely and accurate billing for oilfield rental equipment and services. This role requires strong attention to detail, organizational skills, and the ability to work in a fast-paced oilfield environment.
Key Responsibilities- Process daily, weekly, and monthly rental invoices for oilfield equipment and services
- Review and verify field tickets, work orders, and rental agreements for accuracy
- Enter billing data into accounting software and ensure correct pricing, rates, and job codes
- Reconcile discrepancies between field tickets, dispatch logs, and customer contracts
- Assist with month-end billing close and reporting
- Respond to customer billing inquiries in a professional and timely manner
- Maintain organized billing records and digital filing systems
- Coordinate with dispatch, operations, and sales teams to ensure accurate billing information
- Track unbilled tickets and follow up to ensure timely invoicing
- Assist with accounts receivable as needed
- High school diploma required; associate degree in accounting or business preferred
- 1–3 years of billing or accounting experience (oilfield or rental industry experience preferred)
- Strong data entry and organizational skills
- Proficiency in Microsoft Excel and accounting software (Quick Books, Sage, or similar ERP systems)
- Ability to multitask and meet deadlines in a fast-paced environment
- Knowledge of oilfield operations and rental billing practices
- Experience working with purchase orders and customer contracts
- Understanding of sales tax and multi-location billing
- Ability to identify and resolve billing discrepancies independently
Office-based position - May require extended hours during month-end close
