The Weekend Ward Clerk is responsible for providing clerical and administrative support to the nursing department to ensure efficient operation of the nursing unit. This position serves as a communication liaison between residents, families, nursing staff, physicians, and other departments while maintaining accurate records and supporting quality resident care. The Ward Clerk is not responsible for providing direct resident care.
Essential Duties and Responsibilities- Answer and direct incoming telephone calls professionally and courteously.
- Greet visitors, residents, families, and staff in a friendly and professional manner.
- Maintain resident charts, medical records, and nursing station files in accordance with facility policies and HIPAA regulations.
- Prepare, organize, and file nursing documentation and reports.
- Transcribe physician orders as directed by licensed nursing staff.
- Process admissions, transfers, discharges, and census information as assigned.
- Monitor and maintain nursing station supplies and forms.
- Schedule appointments and arrange transportation for residents when required.
- Communicate messages accurately and promptly to nursing staff, physicians, and other departments.
- Assist with data entry and electronic medical records (EMR) documentation.
- Prepare reports, logs, and other administrative documents as requested.
- Maintain confidentiality of resident and facility information at all times.
- Assist nursing management with clerical tasks and special projects.
- Follow all facility policies, procedures, and infection control guidelines.
- Perform other duties as assigned by the Administrator, Director of Nursing, or designee.
- High school diploma or GED required.
- Previous clerical, receptionist, healthcare, or long-term care experience preferred.
- Experience with electronic medical records preferred.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office and basic computer applications.
- Ability to maintain accurate records and documentation.
- Ability to handle multiple tasks in a fast-paced environment.
- Ability to work independently with minimal supervision.
- Knowledge of HIPAA and resident confidentiality requirements.
- Ability to sit, stand, and walk for extended periods.
- Ability to lift and carry up to 20 pounds occasionally.
- Ability to use office equipment including computers, telephones, copiers, and printers.
- Ability to communicate effectively in person and by telephone.
- Part-time weekend position.
- Typically scheduled on Saturdays and Sundays.
- May be required to work holidays and additional shifts as needed by the facility.
