Position Overview
Role: Secretary, Medical Admin Sr – advanced administrative and clerical support to physicians, advanced practice providers, and clinical staff. Provides scheduling, documentation, billing, and office operations support with liaison responsibilities among clinical, academic, and administrative functions.
Schedule & Compensation- Monday through Friday, 8:30–5:30 (Day Shift – 12 Hours, 40 hrs/week).
- Pay range: $16.60–$31.37 per hour (final offer may vary with experience and qualifications).
- Patient scheduling, registration, and coordination – schedule and coordinate inpatient and outpatient visits, procedures, and diagnostic testing; verify insurance and authorizations; collect demographics; identify urgent needs.
- Communication & customer service – answer screening calls, greet visitors, provide policy information, serve as liaison, escort patients, and chaperone examinations.
- Documentation & correspondence – transcribe dictation, proofread and edit documents, prepare letters and forms, maintain chart updates and compliance with HIPAA.
- Meeting, program, and faculty support – arrange meetings, distribute agendas and minutes, make travel arrangements, coordinate residency and fellowship schedules.
- Billing & financial processing – collect copayments, process payments, maintain deposit records, perform charge entry for billing.
- Office operations – prepare administrative paperwork (expense requests, timesheets), handle confidential files, monitor supplies, maintain equipment.
Required:
- High School diploma or equivalent.
- 2 years of experience in a medical office or healthcare setting.
- Proficiency with Microsoft Office Suite and electronic health record (EHR) systems.
- Strong organizational, communication, and customer service skills.
- Ability to maintain confidentiality of patient and organizational information.
- Demonstrated ability to manage multiple priorities in a fast‑paced environment.
Preferred:
- Completion of a medical secretary, medical assistant, or related vocational training program.
- Previous experience providing administrative support in an academic medical office.
- Familiarity with medical terminology, insurance authorization processes, and clinical workflows.
- 1 year of experience in a medical office or healthcare setting.
- Proficiency in EHR systems and familiarity with medical terminology.
Work is largely sedentary and performed indoors in a normal office environment. Typical office duties may require occasional lifting of light items.
