We are seeking a detail-oriented Records Management Specialist/Archivist to support the organization, maintenance, and retrieval of critical archived records and documentation. In this role, you will ensure archived materials are accurately cataloged, securely stored, and readily accessible when needed.
The ideal candidate has strong organizational skills, experience managing records or documentation, and a commitment to maintaining data integrity and regulatory compliance.
Key Responsibilities- Organize, maintain, and manage archived records in a secure, controlled-access environment.
- Receive, review, and archive study documentation, reports, quality records, and supporting materials.
- Verify the completeness and accuracy of documents submitted for archival storage.
- Maintain inventory systems, indexes, and tracking tools to support efficient storage and retrieval of records.
- Retrieve archived materials in response to internal requests while maintaining document security and chain of custody.
- Digitize archived materials through scanning and electronic document management processes.
- Coordinate the transfer, shipment, and long-term storage of archived records.
- Support compliance with applicable procedures, regulatory requirements, and documentation standards.
- Assist with the development and maintenance of archive-related procedures and best practices.
Monitor archive supply inventory and coordinate procurement of storage materials as needed. - Maintain a clean, organized, and efficient archive workspace.
- Provide additional administrative and records-management support as required.
- Associate degree in Business Administration, Records Management, Library Science, Information Management, or a related field required. Bachelor's degree in a related discipline, preferred.
- 1-3 years of experience in records management, document control, archives administration, regulatory documentation, or a related field preferred.
- Experience working in a regulated environment, strongly preferred.
- An equivalent combination of education and experience will be considered.
- Strong organizational skills and exceptional attention to detail.
- Proficiency with Microsoft Office applications and database systems.
- Ability to manage multiple priorities while maintaining accuracy and confidentiality.
The pay range for this position is $27-$33/hour. Please note that salaries vary within the range based on factors including, but not limited to, experience, skills, education, certifications, and location.
