Under general direction, performs customer service representative duties within the Department assigned; work varies little, requiring individual judgment within the specifically assigned Office protocol, and EMCMHC policies and procedures.

EssentialsDuties and Responsibilities

- Act as a primary customer service representative: answer the phone, screen and direct calls, and schedule appointments.
- Maintain working knowledge of both Mental Health and Chemical Dependency ARM and current policies.
- Keep up to date with Montana Medicaid, insurance, and sliding‑fee policies.
- Assist clients in applying for Medicaid, waiver, state CD plan, or sliding fee.
- Facilitate admission of walk‑in clients as needed, complete admission forms, and explain confidentiality.
- Scan all documents into patient accounts in Credible.
- Assist counselors, nurse practitioners, clinicians, case managers, CRS staff, and AGH staff with admissions, updates, treatment‑plan reviews, SED/SDMI forms, CSRs, and discharges.
- Oversee PFL, MIP, CD groups, and 6‑hour education classes.
- May oversee Telemed services as a site facilitator.
- May attend weekly staff meetings and record the minutes from these meetings.
- Maintain filing system including client records, crisis notes, and professional staff materials.
- Perform all other duties normally associated with the role of customer service representative at EMCMHC.
- Perform additional duties and responsibilities that may be assigned.
- No supervision responsibilities for work of others.
- Regularly check and process client records per EMCMHC policy, maintain records, and the filing system.
- Compose standard correspondence and type reports, progress notes, initial assessments, psychological evaluations, and all required forms.
- Distribute incoming and outgoing mail, coordinate and purchase supplies for the office, maintain office routine, and general office appearance.
- Satellite office customer service representatives shall contact the site facilitator of any changes in their Telemed schedules.
- If involved with Telemed services, keep track of site log attendance for groups or any Telemed presentations and forward the information to the site facilitator.
- Minimum age 18 years.
- High school diploma or GED preferred.
- Ability to communicate orally and in writing.
- Work generally performed in an office setting.
- Typing and computer skills required.
- One (1) year of demonstrated work experience in an office setting.
- Complete Credible EHR functionality and overview training within the first month of employment and maintain certification throughout employment.
- Possess certification to enter SAMS records.
- Possess a valid Montana operator’s license (and vehicle insurance if using personal vehicle to transport clients).
- Physical requirements may require lifting up to 35 pounds (greater with assistance), bending, stooping, climbing steps, and prolonged sitting.
