Finance Department Assistant

Reports To:

Director of Finance

General Summary

Provides essential clerical and administrative support to a finance department, focusing on accuracy and efficiency in daily operations.

Essential Functions
  • Assist with processing invoices
  • Assist with insurance bank account reconciliation
  • Assist with purchase card reconciliation
  • Assist with collecting retiree health insurance payments and maintain a ledger of payments received
  • Assist in Food Service data management and reporting
  • Professional and friendly customer service skills
  • Ability to create and maintain Excel spreadsheets and reports
  • Ability to learn and navigate accounting software
  • Adept at using various office machines and computer equipment
  • High accuracy in numerical data entry and document review
  • Some typing ability
  • Assist with maintaining a variety of files, documents and student records for the purpose of documenting and/or providing reliable information relative to student records
  • Assist with maintaining an organized Records Storage Building where hardcopy files are kept
  • Assist with complying with student record‑keeping retention and destruction as required by law
  • Assist with mailroom clerk – primary contact for Pitney Bowes
  • Assist other business office staff as needed
  • Assist with building receptionists on multi‑line telephone
  • Assist with requests for students, colleges/universities, and employment agencies for providing required information such as transcripts
  • Various other duties as assigned by the Director of Finance
Qualifications
  • Education: High School Diploma
  • Experience desired: Wide range of clerical experience and some degree of accounting experience (School setting experience preferred, but not required)
  • Other requirements: Must successfully pass a background check that is satisfactory to the Board of Education. Excellent organizational skills, oral and written skills, time management, and telephone skills. Computer knowledge and assistive technology.
