Children's Services Department Administrative Assistant
The successful candidate will be responsible for the administrative and clerical support of the Children's Services Department. This role involves managing communication, scheduling, and general office duties. In addition, the Department Administrative Assistant will ensure Head Start non-federal share contributions are documented and reported accurately on a monthly basis.
Essential duties and responsibilities include the following. Other duties may be assigned.
Program Administration and Coordination- Collect and process in-kind donation documentation from Head Start centers; communicate with program staff regarding in-kind goals and expectations; and report monthly in-kind contributions.
- Responsible for processing and reconciling requisitions, invoices, and vendor statements as applicable to assigned worksite in accordance with guidance from agency fiscal department and supervisors.
- Acts as receptionist; answering phones, taking messages, directing visitors, providing general information as needed.
- Serves as a support person (copying, filing, assembling packets, etc.) for all program staff.
- Ensures confidentiality in all aspects of the program is maintained as directed and necessary.
- Attends all workshops and meetings as deemed necessary by the immediate supervisor.
- Attends all required staff and parent meetings and activities.
- Responsible for understanding Head Start Performance Standards and Program Policies and Procedures.
- Enhances teamwork among staff. Assist other staff when necessary.
- Positively promotes Head Start in the community.
- Maintains respectful and professional demeanor with children, families, public, coworkers and management. Respects the diversity and culture of all.
- Becomes thoroughly familiar with DAEOC Employee Handbook and Human Resources Policies and Procedures.
Education and/or
Experience:
High School Diploma or G.E.D. is required. AA degree and/or 2 years experience in general office management, data systems and bookkeeping is required. Early childhood education/experience is also preferred.
