School Secretary II
Anne Arundel County Public Schools (AACPS) is seeking a School Secretary II to support the principal of a public elementary or secondary school. The position involves a wide range of secretarial, clerical, and public relations duties that relieve the principal of many administrative and procedural details.
Responsibilities- Serves as Office Assistant to the principal and coordinates schedules, appointments, and parent/teacher conferences.
- Receives and screens visitors, telephone calls, and mail; informs the principal of developments.
- Maintains the principal’s calendar, resolves scheduling conflicts, and reminds the principal of appointments.
- Interprets and conveys messages, instructions, and procedures to subordinates with discretion.
- Maintains subject‑matter files and confidential records; revises filing systems as needed.
- Performs bookkeeping, banking transactions, and related accounting activities.
- Registers new students, prepares cumulative folders, and processes all academic records.
- Keeps employee time records and payroll forms; verifies overtime and leave forms.
- Schedules after‑school use of building and submits monthly reports.
- Administers first aid; contacts parents regarding absentee or illness; updates the confidential medical list.
- Schedules field trips and compiles required reports including attendance, financial, kindergarten enrollment, and staff projections.
- Types correspondence, requisitions, memoranda, bulletins, and handbook materials.
- Supervises clerical office personnel, promotes teamwork, and operates office equipment.
- Maintains good public relations with parents, students, citizens, and professional organizations.
- Attends school meetings, takes minutes, and distributes minutes.
- Performs other related duties as assigned.
- High School Diploma or Equivalency Certificate required.
- Some college certificates in secretarial or commercial business courses preferred.
- Three (3) years of progressive secretarial work experience, at least two (2) of which were in school operations.
- Proficiency in typing at least forty (40) words per minute.
- Proficiency in personal computer operation: word processing, spreadsheets, database, and desktop publishing.
- Knowledge of office practices, business English, spelling, and bookkeeping.
- Ability to train, instruct, assign, coordinate, and supervise clerical personnel.
- Excellent communication and discretion with students, parents, and the general public.
- Familiarity with Board of Education and school policies and procedures.
- Ability to exercise independent judgment and maintain confidential records.
- Proficiency with business technology applications and a minimum pre-employment assessment score.
- Bilingual/Biliterate in the targeted language is required if the program is bilingual.
- Notary Public issued by the Maryland Secretary of State is required.
- Standing, walking, sitting, keyboarding, talking, and hearing are performed as required by the duties.
- Indoor school environment; moderate noise level; lifting up to 20 pounds allowable as needed.
