Charles P. Johnson and Associates (CPJ) is seeking a highly organized and detail-oriented Proposal Coordinator to support our growing Public Sector division in Greenbelt, MD. This position plays a critical role in coordinating the full cycle of proposals—from opportunity identification through final submission—while also supporting essential office functions to ensure smooth daily operations.

Primary Responsibilities – Proposal Coordination
  • Identify, review, and qualify RFPs and RFQs.
  • Coordinate the complete proposal development process, including schedules, task assignments, internal reviews, and compliance requirements.
  • Organize and lead proposal kickoff meetings, strategy sessions, and content-development discussions.
  • Draft, edit, proofread, and format proposal documents to ensure accuracy and consistent branding.
  • Coordinate with subconsultants to collect resumes, project descriptions, rates, required forms, and supporting materials.
  • Maintain an updated library of proposal materials including project descriptions, resumes, templates, boilerplate text, and graphics.
  • Prepare proposal-related presentations and marketing materials.
  • Assist with conference and business-development activities by tracking registrations and preparing materials.
  • Oversee timely digital and hard-copy proposal submissions, ensuring all requirements are met.
Secondary Responsibilities – Office Management
  • Serve as a welcoming and professional point of contact for clients, visitors, and vendors.
  • Answer, screen, and direct phone calls as needed.
  • Manage office supplies, equipment, and vendor relationships.
  • Assist with scheduling and organizing meetings and training sessions.
  • Prepare and distribute memos, correspondence, meeting minutes, invoices, and merged documents.
  • Coordinate in-person and virtual meetings using Microsoft Teams.
  • Plan and coordinate department-wide training, lunch-and-learn programs, and social events.
Required

Skills & Qualifications
  • Professional, approachable demeanor with a commitment to excellent service.
  • Strong writing, editing, grammar, and document-formatting skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, Teams).
  • Experience with Adobe Creative Cloud, particularly InDesign (preferred).
  • Highly organized with strong attention to detail.
  • Familiarity with Deltek (preferred).
  • Experience with Microsoft Publisher and Project is a plus.
  • Minimum two (2) years of experience in proposal coordination; proposal writing experience is a plus.
  • Willingness to occasionally work flexible hours to meet proposal deadlines and special events.
