IBSS Corp. is seeking an OCFO Executive Support Analyst / Logistics and Operations Analyst to support the NOAA National Weather Service (NWS) Office of the Assistant Administrator (OAA) under the Program Management Support Services contract. This position provides high-level executive administrative, logistics, and operational support to the Office of the Chief Financial Officer / Chief Administrative Officer (OCFO/CAO). The selected candidate will support executive leadership, office operations, administrative workflows, and coordination activities to ensure efficient, compliant, and well-documented business operations.
The OCFO Executive Support Analyst / Logistics and Operations Analyst will work closely with Government leadership, administrative staff, and cross-functional teams to support daily operations, executive requirements, and organizational priorities across OCFO/CAO.
Key Responsibilities Executive & Administrative Support- Provide direct administrative support to OCFO/CAO leadership and executive staff.
- Manage calendars, schedule meetings, coordinate appointments, and arrange executive engagements.
- Prepare, edit, and distribute correspondence, briefing materials, reports, presentations, and official documentation.
- Coordinate travel arrangements, travel authorizations, and voucher processing in accordance with federal travel policies.
- Serve as a point of contact for incoming communications, phone calls, mail, and inquiries, ensuring timely routing and response.
- Maintain organized electronic and physical filing systems to ensure confidentiality and compliance with information-handling requirements.
- Coordinate office logistics, including meeting room setup, conference support, A/V coordination, and event preparation.
- Manage office supply inventory, requisitions, and procurement tracking in coordination with procurement staff.
- Support office space planning, moves, reconfigurations, and facility-related requests.
- Coordinate shipping, receiving, mail distribution, and interoffice logistics functions.
- Track and support asset management, including equipment inventory and reconciliation activities.
- Assist in onboarding and offboarding activities for OCFO/CAO personnel.
- Maintain and update tracking tools, spreadsheets, dashboards, and operational reporting systems.
- Track action items, taskers, and leadership requests to ensure timely completion and follow-up.
- Support the development and maintenance of standard operating procedures (SOPs) for administrative and logistics processes.
- Assist in improving workflow efficiency through process documentation and administrative modernization efforts.
- Provide basic reporting on operational status, workload tracking, and administrative metrics.
- Serve as a liaison between OCFO/CAO leadership, NWS offices, and external stakeholders.
- Coordinate meetings, briefings, and cross-office engagements.
- Ensure timely distribution of information, meeting materials, and executive updates.
- Support communication flow across administrative and operational teams.
- Education:
BA/BS degree (or equivalent). - Experience:
4-8 years of experience in a related area. - Strong written and verbal communication skills.
- Experience supporting executive-level staff or office operations.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Proficiency with Microsoft Office Suite, Google Workspace, and collaboration tools (e.g., SharePoint, Teams).
- Strong organizational skills with attention to detail and accuracy.
- Ability to handle sensitive and confidential information appropriately.
- Experience supporting Federal Government or NOAA/NWS environments.
- Familiarity with federal administrative, logistics, or procurement processes.
- Experience with tracking tools such as Smartsheet, Excel dashboards, or SharePoint workflows.
- Experience supporting finance, administrative, or executive offices.
