The Sr. Administrative Assistant/Office Manager provides high level administrative and office support. This role serves as a partner to leadership, a key administrative liaison to the Board of Directors and is the primary coordinator of office operations and facilities management.
A successful candidate delivers timely, high quality support, demonstrates strong critical thinking and initiative, and exercises exceptional professional judgment while managing sensitive information, complex priorities, and the daily functioning of the company’s office environment.
Key Responsibilities
Executive Support
- Provide comprehensive administrative support to leadership, including conference registrations, travel coordination, and briefing preparations.
- Anticipate needs and proactively resolve issues to ensure smooth daily operations.
- Prepare, edit, and format executive presentations, and reports.
Board of Directors & Governance Support
- Coordinate all Board and committee meetings, including scheduling, logistics, agenda development, packet preparation, and minute taking.
- Maintain accurate governance records, ensuring compliance with association bylaws and policies.
- Serve as a professional point of contact for Board members, supporting communications, follow up, and information flow.
Office Management & Facilities Coordination
- Oversee daily office operations to ensure a professional, efficient, and well maintained work environment.
- Manage relationships with building management, vendors, and service providers (e.g., maintenance, cleaning, IT support, supplies).
- Monitor inventory and procure office supplies, technology, and equipment as needed.
- Ensure compliance with safety, security, and accessibility standards within the office.
Administrative Excellence & Special Projects
- Lead or support administrative projects requiring research, analysis, and problem solving.
- Identify opportunities to streamline administrative processes and improve operational efficiency.
- Other administrative duties as assigned.
Qualifications
- 5–7+ years of progressive administrative experience, including direct support to senior leaders.
- Demonstrated ability to manage complex schedules, competing priorities, and confidential information.
- Exceptional written and verbal communication skills.
- Strong critical thinking, initiative, and problem solving abilities.
- High level of professionalism, discretion, and judgment.
- Proficiency with Microsoft Office Suite and Boardable.
- Experience supporting Boards or governance bodies preferred.
- Must be able to lift and carry supplies weighing up to 20 pounds.
