The Project Coordinator provides administrative and logistical support across the Office of Cosmetics and Colors (OCAC). This position handles the day-to-day administrative tasks that keep OCAC'sworkstreams moving — intake and tracking of work items, meeting logistics and documentation, correspondence routing, and recordkeeping in agency IT systems —ensuring the continuity of office operations consistent with FDA deadlines.
Requirements Project Intake and Tracking- Receive, log, and track incoming work projects, inquiries, and requests submitted to OGD offices.
- Maintain project trackers, shared logs, and status spreadsheets to support triage and prioritization by office leadership.
- Archive completed projects and correspondence in accordance with office recordkeeping practices.
- Schedule meetings, prepare and distribute agendas, and coordinate calendars for internal and external stakeholders.
- Take meeting notes and minutes, and track resulting next steps and action items.
- Follow up with staff and stakeholders to confirm completion of assigned action items by their due dates.
- Monitor and triage office mailboxes, routing inquiries and requests to the appropriate staff member.
- Draft routine correspondence and acknowledgment responses for review by office staff.
- Coordinate responses to inquiries and requests from internal and external stakeholders as directed.
- Maintain accurate, up-to-date records and files within agency IT platforms (e.g., Nexus, SharePoint, Qdocs).
- Assist staff in navigating and utilizing office storage, archiving, and collaboration platforms.
- Help compile, organize, and format supporting documents and files for guidance development and project deliverables.
- Provide day-to-day administrative support to program leadership and project managers as assigned.
- Prepare routine status summaries and administrative reports as directed by office leadership.
- Support onboarding logistics, scheduling, and other general office coordination tasks as needed.
- Strong organizational skills and attention to detail, with the ability to manage multiple administrative tasks and deadlines simultaneously.
- Excellent written and oral communication skills, including professional correspondence and meeting documentation.
- Proficiency with Microsoft Office (Word, Excel, Outlook) and scheduling/calendar tools.
- Ability to learn and navigate agency-specific IT platforms (e.g., Nexus, SharePoint, Qdocs).
- Strong customer-service orientation when triaging inquiries and coordinating with internal and external stakeholders.
- Ability to work independently on routine tasks while following established office procedures and priorities.
- Associate's or Bachelor's degree in business administration, office administration, or a related field (equivalent administrative experience may be considered).
- Prior experience in an administrative, coordination, or office support role, preferably within a government or regulatory setting.
- Familiarity with federal government or regulatory agency administrative processes is a plus.
