Office Administrator/ Coordinator

Responsibilities Pre‑Award Services- Work independently with grants, contracts, and clinical trial agreements from Feds, non‑feds, state, local, private foundations and pharmaceutical companies.
- Serve as expert advisor to faculty and other departments for inquiries and concerns.
- Provide official proposal review, checking for errors, missing or incomplete information per sponsor requirements and proposal guidelines.
- Forward appropriate documents to signature official as needed.
- Coordinate timelines for proposal submissions.
- Submit final approved proposal to the funding agency or sponsor.
- Negotiate legal terms and conditions for industry‑sponsored clinical trial agreements.
- Forward requests for patient‑care budgets to the Clinical Trial Office as needed.
- Handle review and contract negotiations.
- Conduct award analysis and set up award accounts.
- Review and submit scientific progress reports, JIT requests and similar requests.
- Review and submit administrative requests such as changes in scope or key personnel, no‑cost extensions, supplemental requests, etc.
- Update department information systems and official records to keep information accurate, complete, and up‑to‑date.
- Speak up when team members exhibit unsafe behavior or performance.
- Continuously validate and verify information needed for decision making or documentation.
- Stop in the face of uncertainty and take time to resolve the situation.
- Demonstrate accurate, clear and timely verbal and written communication.
- Actively promote safety for patients, families, visitors and co‑workers.
- Attend carefully to important details, practicing Stop, Think, Act and Review to self‑check behavior and performance.
- Bachelor’s Degree in Business, Health Care, Public Administration or related field. (Required)
- Master’s Degree in similar fields. (Preferred)
- Minimum
Work Experience:
3 years progressive experience in grants or contracts related to biomedical research and/or healthcare/medical programs and services. - Preferred Office Environment: Central or departmental administration, office of sponsored programs, office of research administration, university or medical center setting, or federal grant‑making agency. (Required)
- Working Knowledge: NIH Grants Policy Statement (12/03), FAR and DFAR clauses, OMB Circulars A‑110, A‑122, A‑133, 45

E. - Math Ability Level: Basic algebra and statistics (average).
- Human Relations Skill Level: Critical.
- Computer Skill Requirements: Critical. PC compatible hardware; MS Office (Word, Excel) critical; MS Access, PowerPoint, HBOC Trendstar plus.
- Licensing: Willingness to achieve credentialing as Certified Research Administrator (CRA) within three years of employment. (Required)
