The Front Office Associate is responsible for the general flow of patients in and out of the office which includes confirming all new patient paperwork has been completed, obtaining new insurance information, notifying providers when patients are ready for their appointments, collection for services rendered and confirming/ filling schedule.
** Essential Duties
*** Greet and welcome patients as they enter the office.
* Ensure the reception area is maintained and professional in appearance.
* Manage front office duties, including answering phones, checking office mail and email, and communicating with patients and insurance companies.
* Utilize PMS for patient scheduling and records.
* Schedule and confirm appointments for providers in the office.
* File patient insurance claims and follow up on outstanding claims, verification of benefits and explanation of coverage.
* Post insurance and patient payments and process accounts receivables.
* Review treatment plan fees and payment options with patients.
* Complete end-of-day and end-of-month reports when the Office Manager is unavailable.
* Assist patients in filling out required intake and medical forms.
* Manage and organize specialist referrals.
* Collect patient copay.
* Inform patients of payment options if applicable.
* Keep track of office supplies and place orders for more supplies when necessary.
* Perform basic accounting tasks such as taking patient payments and preparing billing statements.
* Assumes and executes additional responsibilities as assigned.
** Knowledge/Skills/Abilities
*** Knowledge of English composition, grammar, spelling and punctuation.
* Skilled in the use of basic office equipment such as: telephones, calculators, copier, fax, computers and computer software (MS Excel, Word, Practice Management software).
* Ability to be professional and maintain composure when dealing with stressful situations.
* Ability to cooperatively work with the doctors, co-workers and patients and build relationships of trust.
* Maintain confidence with the patient regarding doctors and staff.
* Ability to collect data, establish facts and maintain confidentiality.
* Ability to communicate and express thoughts and ideas clearly and competently.
* Excellent customer service and leadership skills.
** Education/ Experience
*** High school diploma or equivalent required.
* College Degree preferred.
* Two years of dental experience preferred.
* Dental software proficiency.
** Physical/ Environmental Requirements
*** Must be able to carry and lift items weighing up to 25 pounds.
* This position will require sitting for long periods of time, walking, standing, bending, and walking, as well as using fine motor skills, such as finger dexterity for typing and using small hand tools.
* This position requires average to above average visual acuity and hearing.
* Prolonged periods sitting at a desk and working on a computer.
* Must be able to read memos, computer screens, personnel forms, and clinical and administrative documents.
