Aspire Living & Learning is currently seeking an Electronic Health Records Specialist, responsible for supporting, maintaining, and optimizing the organization’s Electronic Health Record (EHR) system across a multi-state environment. This role serves as a key resource for ensuring the EHR system supports high-quality service delivery, regulatory compliance, documentation accuracy, and operational efficiency. The EHR Specialist works collaboratively with program leadership, clinical and nursing teams, quality and compliance staff, training teams, and IT to support day-to-day system use, improve workflows, assist with upgrades and enhancements, and promote consistent documentation practices across the organization.

Location: Hybrid, expected to be in office/programs at least 3 days per week with travel between sites

Key Responsibilities:
  • Serve as a primary support resource for the organization’s EHR platform (Therap), including troubleshooting user issues, answering questions, and escalating technical concerns as needed.
  • Support day-to-day administration and maintenance of the EHR system, including user setup, role and security access, configuration support, and monitoring overall system functionality.
  • Partner with program, clinical, nursing, compliance, quality assurance, and operational leaders to understand workflow needs and identify opportunities to improve EHR use and documentation processes.
  • Assist in designing, testing, implementing, and communicating EHR enhancements, updates, forms, templates, workflows, and related system improvements.
  • Help ensure documentation processes and EHR workflows align with organizational standards, payer requirements, licensing expectations, and state-specific regulations across multiple states.
  • Support data integrity by identifying inconsistencies, monitoring documentation quality, and assisting with audits, corrections, and follow-up as needed.
  • Develop and maintain user guides, training materials, tip sheets, and process documentation related to EHR workflows and best practices.
  • Deliver training and ongoing support to new and existing staff on EHR functionality, documentation expectations, and workflow changes.
  • Assist with testing new functionality, patches, interfaces, and releases before implementation.
  • Monitor recurring issues and trends, recommend solutions, and help implement process improvements to increase efficiency and user adoption.
  • Support reporting needs by helping users access EHR data, understand available system functionality, and identify documentation gaps impacting reporting outcomes.
  • Participate in cross-functional projects related to EHR optimization, compliance readiness, quality improvement, and operational initiatives.
  • Maintain confidentiality and security of protected health information and organizational data in accordance with HIPAA and organizational policies.
  • Chair the Therap Super Admin Committee
  • Perform other related duties as assigned
Qualifications Required Education & Experience
  • Bachelor’s degree in health information management, healthcare administration, information systems, human services, nursing, social work, or a related field preferred. High School degree required.
  • Minimum of 2-4 years of experience working with an Electronic Health Record system required.
  • Experience in healthcare, behavioral health, human services, or /DD services strongly preferred.
  • Experience supporting multi-site or multi-state operations preferred.
