Position Summary
The Payroll Specialist serves as a key resource for maintaining employee and payroll-related data within Paylocity and supporting employee lifecycle administration. This role partners closely with Human Resources, Payroll, Benefits, and operational leaders to ensure employee records are accurate, personnel transactions are processed timely, onboarding and offboarding activities are completed efficiently, and required payroll and compliance reporting is maintained.
The Payroll Specialist is responsible for employee status changes, HRIS record maintenance, reporting, data audits, workers' compensation reporting, and employee payroll support. The ideal candidate possesses strong attention to detail, exceptional organizational skills, a customer-service mindset, and the ability to manage multiple priorities in a fast-paced environment.
Essential Duties and Responsibilities HRIS Administration & Employee Data Management- Maintain employee records within Paylocity, ensuring accuracy and completeness of employee information.
- Process employee lifecycle transactions, including hires, rehires, transfers, promotions, pay changes, status changes, and terminations.
- Audit employee records and HRIS data to ensure compliance with company policies and established procedures.
- Verify supporting documentation for employee transactions and ensure proper record retention.
- Troubleshoot employee data issues and coordinate corrections with Human Resources, Payroll, and operational leadership.
- Maintain system data integrity through routine audits and reviews.
- Coordinate onboarding activities and system setup for new hires.
- Process new hire documentation and ensure accurate employee setup within HRIS and payroll systems.
- Facilitate employee separation processes, including termination entries, benefit notifications, system updates, and documentation requirements.
- Partner with hiring managers and Human Resources to ensure a seamless onboarding and offboarding experience.
- Monitor compliance with onboarding documentation and employment record requirements.
- Produce recurring and ad hoc payroll, workforce, compliance, and operational reports.
- Prepare and maintain workers' compensation reports and supporting documentation.
- Audit report data for accuracy and completeness.
- Research discrepancies and coordinate resolutions with internal stakeholders.
- Assist with compiling workforce metrics, headcount reporting, turnover reporting, and other HR-related data requests.
- Serve as a point of contact for employee questions related to pay statements, direct deposit changes, tax forms, deductions, and employee self-service.
- Assist employees with Paylocity navigation and account maintenance.
- Support the administration of garnishments, child support orders, tax levies, and other payroll-related deductions.
- Escalate complex payroll matters to appropriate internal resources when necessary.
- Support payroll and HR audits by gathering, validating, and maintaining documentation.
- Maintain employee files and records in accordance with company policies and regulatory requirements.
- Assist with year-end payroll and compliance activities.
- Document procedures and support continuous improvement initiatives.
- Perform other duties as assigned.
- Associate's degree in Human Resources, Business Administration, Accounting, or a related field preferred.
- 2-4 years of experience in HRIS administration, payroll support, human resources administration, employee records management, or a related role.
- Experience with Paylocity strongly preferred.
- Experience coordinating employee onboarding and offboarding processes preferred.
- Experience producing reports, auditing data, and maintaining HRIS records preferred.
- Working knowledge of HRIS systems, employee records management, and personnel administration.
- Understanding of payroll processes, employee deductions, garnishments, and payroll recordkeeping.
- Strong reporting and data management skills.
- Advanced attention to detail and commitment to data accuracy.
- Strong proficiency in Microsoft Excel and HRIS reporting tools.
- Ability to manage confidential and sensitive information.
- Excellent organizational, communication, and follow-through skills.
- Ability to prioritize competing deadlines and manage multiple projects simultaneously.
- Strong customer service orientation and ability to build positive working relationships across the organization.
