Job DescriptionStaff Assistant providing professional level, general administrative support to management, includes use of management theories, principles, and practices, reference and research methods involving business data collection, compilation, and analysis. Develops specialized projects and reports to obtain information and data useful to management in the decision-making process.
Responsibilities- Provide leadership and direction to the BSU Philanthropy Fellowship Program.
- Primary responsibility for all aspects of program management and operations including, but not limited to the following:
- Identifying and recruiting Fellowship candidates for successive cohorts of the program.
- Managing the Fellowship Applications and Selection Process.
- Acting as a liaison and point of contact for all administrative arrangements with the University.
- Coordinating and managing Program resources as needed to meet the needs of the fellowship experience (e.g., for work-related travel, conference attendance, memberships, and/or materials and supplies not provided by the hosting partner, etc.)
- Initiating or assisting with creating contracts, onboarding and grants payments
- Other duties as assigned
- Working with the Partner Organizations:
- Identifying and recruiting Fellowship Partner Organizations for successive cohorts of the program.
- Working with the Partners in Managing the Fellowship Selection Process.
- Acting as a liaison and point of contact in all matters involving the Fellowship Partners.
- Coordinating and managing quarterly Partners’ check-in meetings.
- Coordinating the Monthly Philanthropy Fellowship Seminar Series
- Identifying and recruiting up to 10 Guest Lecturers per year.
- Organizing and conducting an orientation meeting for the lecturers.
- Organizing the Lecture Series and collecting Lecturers’ materials (e.g. headshots, bios, lecture titles and synopses, etc.)
- Creating and Managing a Seminar Series Schedule and outlining the agenda for each meeting.
- Convening the Seminar, 'MC-ing', recording, and archiving the presentations.
- Organizing and Managing an Annual Commencement Ceremony
- Recruiting and managing Commencement Speakers (e.g., BSU Administrators, Key Note Speaker, etc.).
- Supervising creation of all Commencement materials (e.g., certificates, plaques, banners, posters, ornaments, the Commencement Program, etc.).
- Providing for and managing all ancillary services (e.g., IT services, food services, printing and production services, etc.).
- Demonstrating leadership and taking the initiative on any other matters as they arise.
- Other duties as assigned.
- A Master’s Degree in any area of management and/or administration preferred.
- A demonstrated capacity for excellence in project management.
- Technical expertise and experience with the use of a variety of project management-related apps and software.(e.g., Excel, Canva, etc.) and AI platforms.
- Excellent oral and written communication skills.
- A penchant for critical thinking and creative problem solving.
- An outgoing personality and an ability to empathize with others.
- An ability to work in close collaboration with a variety of persons and partners.
