We are seeking four highly skilled and detail‑oriented Medical Office Clerks to work on‑site at Naval Branch Health Clinic, Bangor. Quality Healthcare Personnel will be utilizing military records systems to assist the Department and Base in its mission.
SummaryProvides clerical/administrative support in wards, clinics, or other clinical departments of a medical treatment facility.
Responsibilities- Greets patients/visitors at the front desk, information center or office setting.
- Answers the main office phone line, directs calls, and takes messages as required.
- Arranges and schedules medical appointments and determines patient eligibility for services.
- Obtains updates and files medical records as needed; organizes and researches patient records; extracts needed information; reviews records for completeness, accuracy, and consistency.
- Ensures arrival of medical records prior to appointments and initiates locating records when necessary.
- Obtains documentation requested by healthcare providers.
- Performs other administrative and clerical duties in support of medical care and operational support.
- Creates appointment schedules and templates in the patient appointment computer system.
- Conducts end‑of‑day process, resolves delinquent or pending appointments, and maintains logs and files.
- Provides appointment support services and production control support to the department.
- Completes routine data preparation, distribution and file maintenance.
- Uses computerized systems such as CHCS, AHLTA, EHR, HAIMS, DEERS, TRICARE, and related software.
- Performs data entry, verification, updates, and editing of patient data; registers new patients as required.
- Processes patient information into data systems, scans, and performs online edits during patient check‑in.
- Inputs patient demographic data into automated systems during check‑in.
- Books patient appointments in compliance with TRICARE business practices and ATC policies.
- Enters patient appointments from telephone calls and written/typed registration forms; prioritizes in‑person scheduling.
- Schedules, reschedules, and cancels appointments; enters provider schedules into automated systems.
- Maintains logs and files in conjunction with the appointment process.
- Enters telephone consults (t‑cons) for patients’ providers into the automated system upon request.
- Assists nursing staff by replying to consults and contacting patients about preventive medicine and chronic disease management reminders.
- Inputs order requests for laboratory, radiology, and ECG tests into the automated system; uses automated modules to enter requests per diagnosis.
- Enters data into Excel, Access, and the Health Fitness Assessment database daily.
- Verifies previous day appointments have been cleared in the system at the beginning of each workday.
- Retrieves health information for the system using department/clinic SOPs.
- Transfers information within the TRICARE system, including DEERS checks.
- Provides a daily status report, including number and type of appointments scheduled, incomplete activity, and status of special interest jobs, by end of shift.
- Maintains procedure manuals and stays abreast of Department policies and procedures; procedure manuals reviewed by the Department Head.
- Complies with task criteria, schedules, and instructions per MTF SOP.
- Maintains current compliance with all training indicated in the PWS; provides training certificates to the COR at completion.
- Fully qualified typist with a minimum of 50 WPM.
- General medical ethics, telephone etiquette, and excellent communication and customer service skills.
- General office administrative and clerical skills; receptionist duties and answering telephones.
- Ability to communicate effectively, orally and in writing.
