Overview
The Executive Assistant performs a variety of administrative tasks and supports the company’s senior‑level management. The role contributes to the efficiency of the business by providing personalized and timely support to executive members, collecting and preparing information for use in discussions and meetings of executive staff and external individuals, and acting as the point of contact among executives, employees, clients, and other external partners.
Responsibilities- Calendar & Scheduling
- Manage complex calendars and schedule meetings across time zones
- Coordinate internal/external meetings, board meetings, and off‑sites
- Prioritize and resolve scheduling conflicts
- Arrange flights, hotels, ground transportation
- Prepare detailed travel itineraries and trip packets
- Handle changes, cancellations, and travel issues
- Process expense reports and purchase requests

- Communication & Correspondence
- Draft, edit, and proofread emails, memos, and presentations
- Screen and prioritize incoming messages and calls
- Act as a point of contact between the executive and staff/clients
- Meeting Support
- Prepare agendas and materials
- Take meeting notes and track action items
- Follow up on deliverables and deadlines
- Information & Task Management
- Maintain files, records, and contact lists
- Track key projects, deadlines, and follow‑ups for the executive
- Help organize information for decision‑making
- Confidential and Strategic Support
- Handle sensitive information with discretion
- Assist with preparation for leadership meetings and reviews
- Help the executive stay aligned with priorities and commitments
- High school diploma or GED equivalent is required
- Minimum of 5 – 8 years’ experience as an Executive Assistant or an equivalent combination of education, training, and experience
- Professional certification or equivalent experience in working with senior level executives within and outside the company, as well as experience with customers, vendors, visitors, and other dignitaries
- In‑depth knowledge of company operations, policies, and procedures
- Maintains a high level of discretion and confidentiality
- Effective communication skills (written and verbal) and interpersonal skills
- High level of customer service and professionalism
- Experienced and proficient with MS Office (Word, Excel, PowerPoint, and Outlook) and strong computer skills
- Occasionally required to travel within the Continental U.S.
- Must have a valid driver’s license and clean DMV record
- Associate’s or bachelor’s degree in a relevant discipline is highly desired or an equivalent combination of education, training, and experience
- Well‑organized, strong time‑management skills, and ability to act without guidance
- Familiarity with office equipment and productivity tools
- Ability to excel in a fast‑paced, deadline‑driven environment where small teams share a broad variety of duties
- Displays strong initiative and drive to accomplish goals and meet company objectives
- Takes ownership and responsibility for current and past work products
- Committed to learning from mistakes and to improving performance of self and others
- Focuses on teamwork and puts the success of the team above one’s own interests
Ability to work in an office environment (constant). Required to sit and stand for long periods; talk, hear, and use hands and fingers to operate a computer and telephone and keyboard (frequent).

Salary Range$89,000 – $135,750
