Office Administrator/ Coordinator, Virtual Assistant/ Remote Admin
Executive Assistant to senior‑level management, providing comprehensive administrative support. Responsibilities include managing complex calendars, coordinating all meetings and travel, preparing agendas and documents, organizing information, and handling confidential matters.
Calendar & Scheduling- Manage complex calendars; schedule meetings across time zones
- Coordinate internal and external meetings, board meetings, and offsites
- Prioritize and resolve scheduling conflicts
- Arrange flights, hotels, ground transportation
- Prepare detailed travel itineraries and trip packets
- Handle changes, cancellations, and travel issues
- Process expense reports and purchase requests
- Draft, edit, and proofread e‑mails, memos, and presentations
- Screen and prioritize incoming messages and calls
- Act as a point of contact between the executive and staff/clients
- Prepare agendas and materials
- Take meeting notes and track action items
- Follow up on deliverables and deadlines
- Maintain files, records, and contact lists
- Track key projects, deadlines, and follow‑ups for the executive
- Help organize information for decision‑making
- Handle sensitive information with discretion
- Assist with preparation for leadership meetings, reviews
- Help the executive stay aligned with priorities and commitments
- High school diploma or GED equivalent
- Minimum 5–8 years experience as an Executive Assistant or equivalent combination of education, training, and experience
- Professional certification or equivalent experience working with senior‑level executives
- Strong written and verbal communication skills and professionalism
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
- Valid driver’s license and clean DMV record
- Bachelor’s degree in a relevant discipline
- Excellent organization and time management; able to act without guidance
- Familiarity with office equipment and productivity tools
- Ability to excel in a fast‑paced, deadline‑driven environment
- Strong initiative, ownership, and teamwork orientation
- Work in an office environment, required to sit and stand for long periods
