Qualifications
  • High degree of verbal and written communication skills to engage stakeholders in a multi‑task, fast‑paced environment.
  • Ability to develop and manipulate spreadsheets, databases, and documents across Windows and Google platforms; create reports using MS Office and Google Suite.
  • Comfortable adapting to various computer programs such as desktop publishing, system‑wide financial systems, basic accounting functions, and student information systems.
  • Equivalency:
    Associate’s Degree in Secretarial Science and/or at least three years of high‑level secretarial experience, preferably in the public sector.
Job Goal

Detail‑oriented and organized administrative support to the Supervisor of Health Services, ensuring smooth coordination among school nurses, students, families, and district leadership.

Performance Responsibilities
  • Secure coverage of school nurse/health aide for the school day, Camp Jewell Nurse, and school field trips; process health services staff sick calls on weekends, evenings, and mornings; maintain coverage calendars.
  • Report systemwide health services staff attendance.
  • Prepare time cards for weekly staff and substitute nurse payroll.
  • Maintain license compliance for all nurses and substitute nurses.
  • Provide comprehensive administrative support to the Supervisor of Health Services, including calendar management, meeting coordination, budget preparation, and report preparation.
  • Purchase, inventory, and distribute health and medical supplies for all district school health services; maintain service contracts and annual rentals.
  • Provide district troubleshooting for health services staff on the use of the health management computer program (SNAP).
  • Handle systemwide student withdrawals and entrance for health requirements; track new student enrollment and withdrawals; obtain required health records from families; collaborate with the district Enrollment Coordinator; maintain student records.
  • Coordinate health eligibility requirements for student participation in the high school’s athletic program.
  • Assist Supervisor of Health Services and district nurses in communication with the Benefits Coordinator regarding work‑related injuries, workers’ compensation carriers, and health providers.
  • Coordinate district‑wide collection of biohazard waste for annual disposal.
  • Maintain confidentiality in all matters pertaining to the integrity and security of materials and information regarding students, families, and personnel of the Simsbury Board of Education.
  • Assist with coordination of district‑wide health initiatives, screenings (vision, hearing, postural), and nursing staff professional development days.
  • Assist remotely with attendance at elementary schools when the primary nurse is out.
  • Coordinate interview process for new staff and follow up with onboarding process (including orientation schedules) for new nurses and substitute nurses.
  • Process reimbursement for staff.
  • Track field trip process for schools.
  • Assist with tracking of ESY and DCE summer programs.
  • Perform other tasks as assigned by the Supervisor of Nursing.
  • Contribute to a team‑oriented atmosphere.
Terms of Employment

12‑month work year (29.5 hours per week). Salary pursuant to negotiated contract between Simsbury Board of Education and Simsbury Federation of Educational Personnel.

Evaluation

Performance evaluated annually in accordance with the Board's policy on evaluation of Non‑Certificated Human Resources.
