Interstates is seeking an Administrative Coordinator to help keep our Instrumentation team organized, informed, and ready to execute.
This role is a central hub for schedules, documentation, and communication. You'll work closely with project managers and technicians. If you enjoy managing details, solving scheduling puzzles, and supporting teams that work in fast‑moving, real‑world environments, this role offers meaningful, day‑to‑day impact.
Location: This position is in person at our Sioux Falls, SD or Sioux Center, IA office.
What You’ll Do Keep Schedules & Travel on Track- Prepare and submit expense reports for traveling technicians and track per diem
- Schedule technicians for onsite work and adjust assignments as needs change
- Track time‑off requests and coordinate approvals with project managers
- Prepare materials for weekly workforce planning meetings
- Identify scheduling gaps, overlaps, or double bookings and flag potential issues early
- Update project and job status in internal tracking systems, maintaining accurate dates and completion status
- Partner with training providers to help technicians stay on track with apprenticeship programs and required coursework
- Support onboarding of new technicians, ensuring system access, setup, and readiness
- Maintain organized documentation and reporting
- Provide general administrative support to help the Instrumentation team operate efficiently and smoothly
- 2+ years of experience in administrative support, project coordination, or office support (experience in construction, industrial, or technical environments is preferred)
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks and shifting priorities with confidence
- Clear written and verbal communication skills
- Experience supporting travel‑heavy or field‑based teams is a plus
