EXECUTIVE SUMMARY

The Registrar is responsible for registering new students within the building. Provides administrative support to the Principal and Assistant Principals. Works closely with teachers and staff concerning student issues. Service as office manager.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Maintain, monitor and manage an accurate student database according to federal and state laws, district policies and procedures.

Add and withdraw students, update personal demographic information and have familiarity with student schedules.

Coordinate grade reporting, including directing teachers in the procedure, collecting, and printing, mailing and filing the grade reports.

Provide data for various reports.

Facilitate the student enrollment process by scheduling appointments with incoming students and families, obtaining required paperwork, such as requesting records from previous schools; birth certificate, immunization records, standardized test results and grade reports. Determining residency requirements and informing families of building/district policies.

Transcribe graduation credits of transferring students. Create enrollment packets for new students. Copy and mail student records as requested.

Coordinates necessary materials for graduation. Prepares documents for programs and diplomas.

Compiles data from a wide variety of sources for the purpose of complying with financial, legal and/or administrative requirements.

Maintains a wide variety of manual and electronic documents, confidential and non-confidential files and records (e.g. calendars, appointment schedules, resource materials, etc.) for the purpose of providing up-to-date reference and audit trail.

Performs record keeping and clerical functions (e.g. scheduling, copying, instructional materials, filing, compiling lists, etc.) for the purpose of supporting assigned Administrator and/or department.

Prepares written materials (e.g. reports, forms, letters, memos, budgets, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.

Researches a variety of topics (e.g. current practices, policies, education codes, etc.) for the purpose of providing information for addressing a variety of administrative requirements.

Responds to inquiries from a wide variety of internal and external parties (e.g. district staff, other schools, state and federal agencies, general public, students, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction.

Screens inquiries of staff, students, parents, the public, etc. (e.g. phone calls, visitors, etc.) for the purpose of taking appropriate action, interpreting and applying policies and procedures and/or directing to appropriate personnel for resolution.

EDUCATION and/or EXPERIENCE

Typically requires a high school diploma at a minimum. Job related experience with increasing levels of responsibility is desired. Previous school office experience preferred.

COMMUNICATION SKILLS

Must possess the ability to communicate effectively with a variety of individuals and groups from all levels of the organization. May communicate with parents or guardians of the student(s). Individual must have effective listening skills.

ANALYTICAL and REASONING SKILLS

Ability to schedule a number of activities, meetings, and/or events; gather, collate, and/or classify data. Ability to work with a variety of data. Problem solving is required to identify issues and create action plans. Problem solving with data requires independent interpretation of guidelines.

TECHNOLOGY SKILLS

Must be able to use the computer, process electronic requests and to enter accounting information. Able to retrieve and print information from various computer programs when needed.

PHYSICAL DEMANDS AND WORK ENVIRONMENT

The usual and customary methods of performing the job’s functions require the following physical demands: some lifting, carrying, pushing, and/or pulling; and significant fine finger dexterity. Generally the job requires 33% sitting, 33% walking, and 34% standing. This job is performed in a generally hazard free environment.

OTHER DUTIES AS ASSIGNED

Will perform other duties as may be assigned by the superintendent or designee, necessary and appropriate to achievement of the program and/or District goals and objectives.
