The Campus Visit Coordinator and Admissions Assistant reports to the Director of Admissions and works closely with the Assistant Director of Admissions and CRM Manager. This position is responsible for coordinating the many aspects of the campus visit program; providing administrative assistance to the Admissions Office; serving as the primary receptionist; and processing data and running reports. - Ensure all aspects of the campus visit program are planned and procedures implemented effectively and efficiently.
- Training Staff to assist with campus visits.
- Organize information packets for distribution to visiting students, families, and others.
- Manage and schedule faculty and program hosts.
- Schedule catering for events.
- Work with Admissions Team to schedule personal meetings and assist with housing tour guide management.
- Support the Admissions Team as they plan for recruitment, including on-campus event and off-campus trips.
- Provide customer service to prospective students, families, and others by scheduling campus tours and personal visits with the Admissions Team.
- Serve as the primary greeter and facilitator to guests coming into the Admissions Office. This includes orienting visitors on their arrival and accommodating their requests.
- Answer telephones and computer chats, emails, and texts.
- Work with the Assistant Director of Admissions and CRM Manager to develop ongoing web-based improvements for processing campus visits, completing daily inquiry to Applicant Activity Improvements for processing campus visits, completing daily Inquiry to Applicant Activity Summary Report, student terminations, and more.
- Help compile information for monthly and yearly reports.
- Organize and maintain the admissions filing system, including providing support for the electronic document imaging software, Hyland OnBase.
- Manage faculty requests for recruitment materials and promotional items for camps and recruitment events.
- Oversee training, schedules, and daily management of projects for work-study students.
- Send weekly and monthly high school visit text reminders to prospective students.
- Manage hospitality and aesthetic needs of enrollment reception spaces.
- Assist with Campus Events (i.e., Campus Visit Days, Career Exploration Events, AAR, etc.).
- Monitor recruiting materials in campus displays.
- Perform other duties as assigned.
- Education:
Associate's degree in Office Management or related field required - Experience:
One year of office management experience required. Proficient knowledge of Microsoft Office Suite. Ability to learn department software. One to three years of experience in a post-secondary institution preferred.
Busy, walk-in desk, open office area. Constant interruptions and must interact with others on a regular basis. General office environment with standard office equipment available. Lighting and temperature are adequate. Moderate noise levels typical of an office environment due to staff and student conversations and office equipment. Job is sedentary with physical activities normally required in an office environment. Possible temperature changes as individuals enter and exit the building.
