Schedule: Part-Time (Hours to be determined)
Reports To: Director / Owners
Ark Academy is seeking a detail-oriented, dependable, and positive Administrative Assistant to support the Director in the daily operations of our growing early learning center. This role helps keep our administrative systems organized, communication flowing, and the front-end experience warm and welcoming for families and staff.
This position is ideal for someone who loves organization, enjoys working in a faith-based, family-centered environment, and takes pride in keeping things running smoothly behind the scenes.
Key ResponsibilitiesAdministrative Support
Assist the Director with daily administrative tasks and special projects
Maintain organized digital and physical records (staff files, child files, compliance documents)
Track required paperwork, licensing requirements, and deadlines
Assist with data entry and reporting as needed
Family & Staff Communication
Monitor and respond to general emails as directed
Support communication through Playground, email, and printed materials
Help prepare newsletters, calendars, and announcements
Assist with enrollment paperwork and new family onboarding
Scheduling & Coordination
Help coordinate tours and maintain tour schedules
Coordinate meetings, trainings, and events on Outlook or shared calendars
Billing & Enrollment Support
Assist with account reviews and follow-up on outstanding balances (as directed)
Support enrollment tracking, waitlists, and availability updates
Help prepare enrollment packets and required forms
Operations Support
Order office supplies and track inventory
Assist with event planning (open houses, family events, staff appreciation, etc.)
Help prepare materials for trainings, meetings, and classrooms
Support special projects that help Ark Academy grow and operate efficiently
Previous administrative or office experience preferred
Strong organizational and time-management skills
Comfortable with technology (Microsoft 365, email, scheduling systems; Playground experience a plus)
Excellent communication and customer service skills
Ability to handle confidential information professionally
Self-motivated, dependable, and detail-oriented
Warm, friendly, and welcoming personality
A heart for children and families
Team-oriented with a positive attitude
Flexible and willing to jump in where needed
Supports Ark Academy’s faith-based mission and family-centered culture
Ability to sit, stand, and move throughout the building as needed
Occasional lifting of office supplies or materials (up to 25 lbs)
