The Doc Support Specialist 2 performs basic assignments under direct supervision and may service a range of products/services. This role applies knowledge of broad work area procedures, attention to detail, and task accuracy. It involves exchanging basic to moderately complex information with others to ensure understanding and provide basic support. Required are basic written, verbal, and listening skills, and basic knowledge of the organization.
The role selects the best course of action from defined options and appropriate procedures to resolve problems, which may involve uncommon variations. It also anticipates problems and recognizes when to deviate from standard practices.
- Verify receipt of all documents and check for accuracy and completeness.
- Archive/storage, retrieval, and reconciliation of documents as received.
- Imaging duties including setup, document preparation, scanning into the database, and returning electronic files to appropriate business lines.
- Resolve moderately complex issues and escalate as required.
- Support one or two business lines in a single system or multiple portfolios (records retention).
- Prepare documents for review, follow up with clients, and modify contracts within established procedures while meeting quality standards.
- Monitor daily work lists and queues to process work within set time constraints.
- Produce simple loan/trade documents upon request.
- Interact with legal institutions and dealers/customers to complete work requirements.
- Sort and prepare incoming documents to be imaged.
- Process information by compiling, coding, categorizing, calculating, and verifying data.
- Administrative support such as photocopying, sorting, and distributing mail.
- Assess risk when business decisions are made, safeguarding the firm, clients, and assets by complying with applicable laws, rules, and regulations and escalating control issues with transparency.
- Must be able to lift 50 to 70 pounds consistently.
- Ability to use a variety of office equipment (phone, fax, copier, computer, scanners).
- Intermediate computer, math, and data skills.
- Ability to follow established procedures to complete moderately complex assignments.
- Clear and concise verbal and written communication skills with internal and external customers.
- Maintains organizational skills with the ability to multi-task, prioritize, and pay attention to detail.
- High School diploma or equivalent
This job description provides a high-level review of the types of work performed. Other job-related duties may be assigned as required.
This position is an overnight position and requires working 100% on-site.
This position pays a 20% shift differential for hours worked between 7:00pm and 7:00am.
Work Schedule- Primary Shift: Monday to Friday, 12:30am to 9:00am.
- Saturday Rotation:
Every other Saturday, same shift hours (12:30am to 9:00am). - Compensatory Day Off:
When you work a Saturday, you will receive a Wednesday off during that week.
