The Executive Assistant to the President of the Aerostar Business Unit will be a high-trust partner at the center of this fast-moving organization. We are looking for someone with exceptional judgment, initiative, discretion, and energy who can anticipate needs, bring order to complexity, and become a genuine force multiplier for the President and leadership team.

Essential Functions:
  • Manage and optimize daily and long-range calendars, meetings, appointments, and priorities; anticipate conflicts and coordinate timely resolution.
  • Prepare the executive for important meetings with clear objectives, agendas, participant context, background materials, logistics, sensitivities, expected decisions, and desired outcomes.
  • Prepare accurate and timely expense reports; track receipts, per diems, reimbursements, credits, and discrepancies in accordance with company policy.
  • Draft, proofread, format, and coordinate correspondence, presentations, briefings, agendas, and routine communications while preserving the executive's voice and confidentiality.
  • Serve as a professional liaison with employees, executives, customers, partners, board members, government officials, and other external stakeholders.
  • Handle sensitive personnel, business, customer, government, and export-controlled information with exceptional discretion and sound judgment.
  • Evaluate requests, gather missing context, and route or elevate matters appropriately while protecting executive focus and maintaining productive stakeholder relationships.
  • Coordinate domestic and international travel, including reservations, ground transportation, lodging, itineraries, contacts, materials, required documentation, contingencies, and changes in real time.
