Job SummaryThe Front Office Receptionist will be responsible for accurate and timely patient registration using medical systems, verifying insurance coverage, and providing exceptional customer service to physicians, patients, and other medical professionals. All work will be performed according to established policies and procedures.
Essential Duties and Responsibilities- Welcomes patients and visitors by greeting them in person or on the telephone, answering or referring inquiries
- Records patient arrival in the Practice Management System (EMR)
- Identifies patients by date of birth and name in the computer system and creates a new account if patient is not in the system
- Prepares necessary patient paperwork prior to the patient's appointment
- Calls “No Show” appointments to reschedule, makes appropriate notations in the Practice Management System and sends letters to patients when necessary
- Optimizes patient satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone and comforts patients by anticipating their anxieties and answering their questions
- Helps in emergency situations by quickly responding to patients in distress using good reasoning and judgment
- Reviews the Practice Management System (EMR) for information that needs updating, works with patients to obtain updated information, and accurately enters it in the system
- Identifies payer sources, verifies insurance eligibility, financial status, and assigns correct payor type; verifies if prior authorization from insurance is required and notifies Billing Department if necessary
- Maintains a clean and organized reception area
- Obtain revenue by recording and updating financial information, collecting patient copays and/or balances at check‑in/out
- Protects patients’ rights by maintaining confidentiality of personal and financial information
- Maintains operations by following policies and procedures and reporting changes as needed
- Contributes to the team effort by accomplishing related results as needed
- Demonstrates superior customer service skills routinely
- Answers the telephone in a timely and polite manner
- Communicates with patients, visitors, providers, and team members in a courteous, professional, cooperative and mature manner
- Other duties as assigned by the Practice Manager or Area Practice Manager
- High School Diploma required;
Associate’s Degree preferred - 1 year customer service experience in a health‑care office preferred
