The Admin Support facilitates the efficient operation of the assigned department by performing a variety of clerical and administrative tasks, including wrangling paperwork and weights. This position is responsible for collecting weights and shipment paperwork on a daily basis to ensure timely processing, compliance, and accurate recordkeeping.
Duties & Responsibilities- Researches and responds to various verbal/written inquiries and requests for information via phone, fax, e-mail, etc.
- Collects, organizes, and tracks shipment weights and required paperwork on a daily basis to support operational accuracy and compliance.
- Scans documents to create electronic files for processing and routes each time‑sensitive document to appropriate entities within prescribed time‑frames for compliance (i.e., paysheets, weights and inventories to carriers, base packet submissions, invoices, and supporting shipment documents, etc.).
- Appropriately files various shipment documents in a timely manner and maintains accurate, up‑to‑date, complete, and organized records in both electronic and hard‑copy formats.
- Assembles and submits document packets required for dispatch, billing, and compliance purposes.
- Provides other administrative support to staff as necessary and assists staff members with special projects as assigned.
- Excellent oral and written communication skills.
- At least 1 year of Administrative Assistant experience (preferred).
- Proven ability to use the internet for research.
- Capable computer skills including word processing, spreadsheets, and presentation software, as well as databases and customer database systems.
- Comprehensive knowledge of Microsoft Excel.
- Foundational knowledge in Administrative Assistance.
- Experience with Microsoft Office (Movestar and Quick Books experience is a plus!).
- A keen attention to detail for ensuring accurate and complete records.
- Alphabetical filing along with exceptional organizational and investigative skills.
- A positive, service‑oriented attitude along with excellent follow‑through abilities.
- An ambitious and proactive work ethic, along with an ability to meet critical time‑sensitive deadlines.
