Hanna Instruments, a worldwide leader and manufacturer of scientific instrumentation is seeking a full time HR Specialist to join our HR Team in our Smithfield, RI office. The HR Specialist will provide support for the various HR employee programs and responsibilities within the organization. They will assist with all administrative functions of HR including, but not limited to, benefits administration, employee administrative changes, maintaining employee records, and providing employee assistance for basic HR support.
The HR Specialist will assist with recruiting efforts and will support various HR initiatives.
- Administer all employee benefit programs, including health, dental, vision, life, disability, voluntary benefits, 401(k), and COBRA.
- Coordinate new hire benefit enrollment process, as well as the annual open enrollment process. Inform team members of benefits eligibility by explaining various programs, resolving questions and problems by researching policies and regulatory requirements, providing answers in a timely manner, ensuring a timely and complete communication process for all employees.
- Oversee monthly employee benefit administration including reconciling billing, new benefits enrollments and cancellations.
- Coordinate all leaves of absence, including FMLA, state‑specific leaves, and statutory benefits.
- Assist with accommodation requests under the ADA.
- Work closely with broker/benefit providers and Accounting team to ensure accurate enrollments and billing.
- Reports workplace incidents to workers’ compensation carriers.
- Fulfills all regulatory mandates and ensures filings are performed as required.
- Complete and process multi‑state payrolls according to schedule as needed. Ensures payroll is accurate and timely, entering correct data for time off, deductions, and with holdings/taxes.
- Performs year‑end audit preparation, third‑party sick pay integration, 941, W‑2, and 1095c verification and mailing.
- Responsible for maintenance of payroll system(s) and time system by working with CSC Paymaster and IT to process updates, upgrades and other required maintenance.
- Prepare or update employment records related to hiring, transferring, promoting, and terminating.
- Process all personnel action forms and ensure proper approval.
- Conduct regular audits of employee files and I‑9 records to ensure compliance with state and federal law.
- Respond to requests for employment verifications.
- Support the hiring process in partnership with the HR Generalist, which includes coordinating job posts, reviewing resumes, and performing reference checks as needed.
- Assist with reviewing and conducting phone and video interviews with job candidates as needed.
- Ensure new hire paperwork is completed and processed.
- Inform job applicants of job duties, responsibilities, benefits, schedules, working conditions, promotion opportunities, etc.
- Coordinate and conduct new hire training and onboarding as needed.
- Keep HR Compliance training and onboarding trainings up to date based on state and federal requirements.
- Maintain records of employee participation in all training and development programs.
- Develops and executes employee engagement programs including employee event and activity planning and the annual wellness fair.
- Ensure compliance with state and federal reporting requirements.
- Ensures that all workplace posters are up‑to‑date and in accordance with federal or state/provincial requirements.
- Other duties as assigned.
- Bachelor’s degree in Human Resources or business related field.
- 3+ years within Human Resources.
- 3+ years experience with multi‑state payroll.
- 1+ year experience with Benefits Administration.
- Exceptional oral and written communication skills required.
