Office Administrator/ Coordinator
The Client Experience Processor plays an essential role in supporting the residential real estate closing process from the initial file opening through the in-office closing appointment. This position blends client interaction, general administrative support, and transaction assistance to ensure a smooth, positive experience for clients, agents, lenders, and internal team members. The role supports Real Estate Paralegals and Managers by maintaining organized files, coordinating communications, and helping create an efficient and welcoming closing environment.
This is an in‑office position. Regular onsite attendance is an essential function of this role and is required to support client interactions, office operations, and team collaboration. Remote or hybrid work arrangements are not available for this position.
KEY RESPONSIBILITIES Office Operations- Maintain a clean, organized, and welcoming reception area, conference rooms, and client spaces.
- Prepare, stage, and reset closing rooms throughout the day tomaintainreadiness for back-to-back closings and client meetings.
- Maintain awareness of real-time closing progress andassistin keeping transactions on schedule.
- Completeadditionaltasks or specialprojectsassignedto support organization and operational needs.
- Complete day of closing tasks.
- Answer and direct incoming calls professionally and efficiently using communication technologies.
- Encourage andparticipatein closing day client celebrations and client experience initiatives.
- Utilize and become proficient with digital tools, software systems, and document management platforms.
- Handle mail, packages, scanning, copies, and filing.
- Monitor office supplies.
- Report any office maintenance needs tothe Office Manager.
- Serve as aproactive,friendly, professional point of contact for clients,and referral partnersthroughout the transactionaccording to the firm’s standard operating procedures
- Provide updates, appointment coordination, and generalassistancewhile elevating legal questions when appropriate.
- Assist with opening, organizing, andmaintainingtransaction files using the firm’s standard operating procedures.
- Support the collection, review, androutingof routine documents needed throughout the closing lifecycle.
- Maintain accurate information, notes, and status updates in the firm’s systems to support team visibility.
- Completeadditionaltasks or specialprojectsassignedto support organization and operational needs.
- Assist with routing information, preparing final materials, and updating internal systems as needed.
- Demonstrate willingness to learn new digital tools and AI-enabled applications.
- Contribute positively to firm culture and team collaboration.
- Demonstrate a willingness to learn and grow within the role.
- Outstanding,friendly,proactive communicator and relationship builder with clients and referral partners.

- Notary Public preferred but not required.
