Description
The Childcare Center Administrative Manager will work with the Tribe’s Child Development Center and Bright Horizons team to support administrative operations and duties associated with the tracking of projects and grants, center budget, tribal curriculum implementation, purchasing, operational logistics, events, compliance with applicable Tribal, federal, state and licensing requirements and other projects as needed.
Essential Duties- Oversees and coordinates a variety of complex administrative functions for the Child Care Center department.
- Develops and manages grant tracking systems and reporting processes for the Childcare Development Fund (CCDF) State, private, and other grants related to the Childcare Center.
- Supports training and coordination efforts for Center staff to meet licensing requirements, trauma-informed care practices, and Snoqualmie cultural practices.
- Stays informed on Child Care Development Fund policies and procedures updates and communicates relevant changes to Bright Horizons Center leadership.
- Maintains accurate, organized, and thorough records, tracking systems, and reports to support efficient department operations.
- Facilitate cross-departmental communication, information sharing, and coordination of learning opportunities and classroom presentations.
- Processes payment requests, purchase orders, RFPs, contracts, and other required internal documents for the Child Care Center Department.
- Supports the Child Development Center with planning and logistical coordination for tribal and community events.
- Gathers, analyzes, organizes, and assists in evaluating data related to departmental projects, programs, and reporting needs.
- Produce communication materials and documentation to support departmental projects, initiatives, and community engagement efforts.
- Coordinates and manages schedules for external educators and department educators.
- Oversees expense tracking, grant reporting schedules, and preparation of required reports and supporting materials.
- Researches, compiles, updates, and maintains information related to department projects and programs, prepares correspondence, reports, and other documents as needed.
- Provides support for procurement and contract processes by coordinating, preparing, and submitting documents related to internal approval processes.
- Collaborates with departments and staff within the Community Services tower to support efficient processes, communication, and documentation.
- Maintain records related to contracts, purchases, agreements, resolutions, access equipment, and other department materials.
- Prepares, organizes and tracks proposals, reports, and related project materials.
- Supports communication efforts and projects within the Community Services tower for Tribal Member and public audiences through written, photo, and video documentation.
- Provides general office and administrative support.
- Coordinates, plans, and supports meetings, public events, presentations, and community activities.
- Provides administrative and project support to the Deputy Executive Director of Community Services.
- Conducts research, undertakes due diligence efforts, and prepares reports.
- Undertakes special projects and assignments.
- Provides documentation, records, reports and communication to the Deputy Executive Director.

- Excellent communication skills (oral, written, in-person, and remote): concise, responsive, clear, accurate communication (oral, meeting materials, slides, etc.) for diverse audiences.
- Advanced proficiency with project management tools and Microsoft 365 applications, including Excel, Word, Outlook, SharePoint, One Drive, Teams, and Zoom, with the ability to organize, prioritize, and manage work effectively under changing deadlines.
- Demonstrated organizational and time management skills.
- Demonstrated ability to prioritize and balance multiple assignments and responsibilities through planning, teamwork and collaboration with stakeholders.
- Strong attention to detail.
- Ability to perform multiple tasks accurately and efficiently under time constraints.

- Ability to support budget tracking, expense monitoring, and related administrative processes.
