As Administrative Assistant / Front Desk Coordinator you are often the first smile, first voice and first connection families experience  play a vital role in ensuring every interaction feels supportive, organized and positive.

What You’ll Do
  • Greeting families and guests with warmth and professionalism; ensuring everyone feels seen and valued.
  • Checking in clients, answering phones and emails, and assisting with insurance information.
  • Managing appointment scheduling, rescheduling, and cancellations while keeping therapists informed.
  • Supporting daily operations with filing, data entry and organization.
  • Coordinating interpreter services to ensure accessible care for all families.
  • Ordering and maintaining facility, office and janitorial supplies.
  • Keeping the lobby and shared spaces clean, safe, and welcoming.
  • Following safety procedures to support a secure environment for all.
  • Opening and closing the center with attention to detail.
  • Staying up to date on programs, classes and special events to better support families.
  • Partnering with the Family Engagement Team on intake tasks.
  • Supporting the Pediatric Therapy Team with front office coordination and basic facility needs.
  • Jumping in wherever needed to support the Encompass team.
Qualifications

Required:

  • At least 2 years of relevant experience.
  • A strong customer‑service mindset with a genuine desire to help others.
  • Excellent verbal and written communication skills.
  • Ability to multitask and prioritize in a busy environment.
  • Dependability and flexibility, including willingness to adjust hours to support the team.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite.
  • Ability to maintain confidentiality and exercise sound judgment.
  • A proactive, independent work style paired with a collaborative team spirit.
  • CPR & First Aid certification (or willingness to obtain upon hire).
  • Valid driver’s license, insurance and reliable transportation.

Preferred:

  • Bilingual in English and Spanish.
Work Environment

This role is based in a friendly, active office setting. Some light lifting (up to 20 pounds), bending and occasional exposure to cleaning products may be required.
