As Administrative Assistant / Front Desk Coordinator you are often the first smile, first voice and first connection families experience play a vital role in ensuring every interaction feels supportive, organized and positive.
What You’ll Do- Greeting families and guests with warmth and professionalism; ensuring everyone feels seen and valued.
- Checking in clients, answering phones and emails, and assisting with insurance information.
- Managing appointment scheduling, rescheduling, and cancellations while keeping therapists informed.
- Supporting daily operations with filing, data entry and organization.
- Coordinating interpreter services to ensure accessible care for all families.
- Ordering and maintaining facility, office and janitorial supplies.
- Keeping the lobby and shared spaces clean, safe, and welcoming.
- Following safety procedures to support a secure environment for all.
- Opening and closing the center with attention to detail.
- Staying up to date on programs, classes and special events to better support families.
- Partnering with the Family Engagement Team on intake tasks.
- Supporting the Pediatric Therapy Team with front office coordination and basic facility needs.
- Jumping in wherever needed to support the Encompass team.
Required:
- At least 2 years of relevant experience.
- A strong customer‑service mindset with a genuine desire to help others.
- Excellent verbal and written communication skills.
- Ability to multitask and prioritize in a busy environment.
- Dependability and flexibility, including willingness to adjust hours to support the team.
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite.
- Ability to maintain confidentiality and exercise sound judgment.
- A proactive, independent work style paired with a collaborative team spirit.
- CPR & First Aid certification (or willingness to obtain upon hire).
- Valid driver’s license, insurance and reliable transportation.
Preferred:
- Bilingual in English and Spanish.
This role is based in a friendly, active office setting. Some light lifting (up to 20 pounds), bending and occasional exposure to cleaning products may be required.
