Role Description

The Administrative Assistant is a full-time, on-site role based in Solana Beach, CA. This role provides daily administrative support to consultants and leadership, including managing calendars, scheduling meetings, organizing travel arrangements, and preparing correspondence and documents. The Administrative Assistant will handle phone calls, greet visitors, maintain electronic and physical filing systems, and support the preparation of reports, presentations, and client materials.

Responsibilities also include data entry, document formatting, maintaining office supplies, coordinating mail and deliveries, and assisting with meeting logistics and internal events. The role requires consistent attention to detail, strong organizational skills, and the ability to prioritize tasks and support multiple team members in a professional, client-focused environment.

Qualifications
  • Strong Administrative Assistance and Executive Administrative Assistance skills, with experience supporting multiple professionals or teams.
  • Professional Phone Etiquette and Communication skills, including clear written and verbal communication with internal and external stakeholders.
  • Solid Clerical Skills such as filing, data entry, document formatting, and basic record keeping.
  • Proficiency with office productivity software (e.g., Microsoft Outlook, Word, Excel, PowerPoint) and comfort learning new systems.
  • Excellent organizational and time-management abilities, with attention to detail and accuracy.
  • Ability to work on-site, maintain confidentiality, and handle sensitive information with discretion.
  • Prior experience in a professional services, financial, or consulting environment is beneficial.
  • High school diploma or equivalent required; further education or relevant certifications in office administration are a plus.
